The HR Assistant will perform various administrative tasks to support the efficient operations of the Human Resource Department

Duties and Responsibilities

➢ Maintains and updates employee files, records and documentation with
100% accuracy
➢ Enter all new employees into the HRIS in place at the Company within 48
hours of new hire orientation, with 100% accuracy
➢ Ensure that the HRIS is updated daily, ensuring that all disciplinary letters
are inputted into the system within 48 hours of its issuance, with 100%
accuracy.
➢ When entering Disciplinary Letters into the HRIS, ensure that the
Disciplinary Procedure is being followed and advise Managers on next
steps or discrepancies noticed on the Disciplinary Letters
➢ Ensure that all HR Matters and Correspondence are kept confidential at
all times
➢ Assist with the scheduling of meetings, events, or any HR related initiative
alongside the relevant parties within the HR Team
➢ Greet all guests concerning the Group Head of HR, and ensure that all
messages are transferred to her within 2 hours of receipt, with 100%
accuracy
➢ Screen all calls coming into the Group Head of HR, ensuring that clear
information is taken and given to all concerned
➢ Provides clerical and administrative support to the HR Department or as
directed by the Group Head of HR
➢ Maintains the integrity and confidentiality of all HR Files and records,
including conversations had within the department
➢ Assist with the coordination of training and events, such as Customer
Service Training, Orientation, company programs and events, by directing
all relevant parties as required and overseeing attendance logs to ensure
that all parties entering the building have logged in
➢ Scan, photocopy, print, organize and distribute any correspondence or
information as required and directed
➢ Assist the HR Team with recruitment, onboarding, disciplinary hearings
as required and trained
➢ Organize and manage the in-house directory of telephone listing for stores,
departments etc., updating said list on the relevant system as the need
arises.
➢ Receive and log all candidates applying to fill vacant positions within the
organization. Subsequently producing a computerized listing of applicants
on a weekly basis.
➢ Occasionally assist in the execution of assignments of calling employees to
provide relevant updates as per training sessions, meeting request etc.
Timely status reports are to be provided as required.
➢ Provide clerical/administrative support to the Department including but
not limited to filing, organizing, managing stationary etc.
➢ Maintain a clean and organised front desk, where no messages or
information can be clearly displayed for any third party to view. There
must be no personal cell phones while at the front desk, along with no
drinks or food.
➢ Maintain a clean, neat and professional image at all times, using moderate
jewellery, makeup and cosmetics and always adhere to the Company’s
Policies and procedures with special attention to Attendance and
Punctuality, Dress Codes and Conduct
➢ Assists with planning and execution of special events such as benefits
enrolment, organization-wide meetings, employee recognition events,
holiday parties, and retirement celebrations.
➢ Any other duty that is required by Management

Education and Experience Requirements:
➢ 5 CXC passes at general level is a must (Math’s and English included)
➢ CAPE or higher-level tertiary education is an asset
➢ Intermediate proficiency at minimum, in MS Word and MS Excel
➢ Previous experience at a similar position is an asset
