HUMAN RESOURCE OFFICER

JOB SUMMARY

Human Resource Assistant’s main job responsibilities are focused on supporting the HR Department. The HR Assistant is involved with nearly all programs and services that relate to UCC’s Human Resource Management and Development department. The incumbent’s role is often decidedly administrative in nature, and involves Recruitment and Onboarding functions, documenting grievances, terminations, absences, performance reports, compensation and benefits information and other related HR Functions.

DUTIES AND RESPONSIBILITIESinclude (but not limited to) the following:

  1. Performing administrative duties, such as maintaining employee databases and sorting emails for the HR department
  2. Maintaining proper records of employee attendance and leave to assist with payroll duties
  3. Assisting the HR Directors in policy formulation, hiring and salary administration
  4. Coordinating orientation and training sessions for new employees
  5. Serving as a point of contact, providing smooth communication with employees and timely resolution to their queries
  6. Managing and coordinating schedules for the HR department, including meetings and events
  7. Handle shared email accounts and act as the first point of contact for the HR directors 
  8. Organize HR meetings and take minutes upon request of the HR director
  9. Act as a liaison between the HR office, other units of the university and external service providers and vend
  10. Oversee the time reporting and approval process at the HR office
  11. Prepare, submit and monitor invoices and expense forms, managing payments
  12. Manage office supplies
  13. Support with other relevant administrative tasks and duties
  14. Answering employee questions
  15. Creating and distributing documents
  16. Providing customer service to organization employees
  17. Serving as a point of contact with benefit vendors/administrators
  18. Assist with the planning and execution of staff engagement and functions.
  19. Maintaining computer system by updating and entering data
  20. Setting appointments and arranging meetings
  21. Maintaining calendars of HR management team
  22. Follow up and  follow through with job applications
  23. Scheduling job interviews and assisting in preparing documents for the interview process
  24. Ensuring background and reference checks are completed
  25. Assist with contract administration
  26. Administering new employment assessments
  27. Performing file audits to ensure that all required employee documentation is collected and maintaine
