The Human Resource Administrative Assistant will provide the required administrative and clerical support for effective functioning of the Human Resource Department. This requires completing dynamic tasks within strict deadlines using initiative while maintaining professionalism at all times.

 

 

 

 

The Human Resource Administrative Assistant will provide the required administrative and clerical support for effective functioning of the Human Resource Department. This requires completing dynamic tasks within strict deadlines using initiative while maintaining professionalism at all times. The incumbent must also demonstrate excellent customer service, communication, tact, discretion and confidentiality, while displaying empathy and patience.

MINIMUM QUALIFICATIONS

  • At least five (5) O’ Level CXC/GCE subjects, inclusive of English Language
  • A Certificate/Diploma in Human Resources/Administrative Assistant will be an asset
  • At least 2 years experience in a similar administrative position or related field
  • Proficient in Microsoft PowerPoint, Word, Excel and Internet, E-mail usage

KEY RESPONSIBILITIES

  1. Provides the administrative and clerical support required to ensure the smooth operation and functioning of the Human Resource (HR) Department, including but not limited to filing, word processing, conducting reference checks, scheduling interviews and preparing interview packages, responding to queries on HR related matters.
  2. Maintains and updates HR files, records and databases of employee information, including but not limited to Leave Administration, Staff Listing, Biometric Hand Punch etc.
  3. Assists with Benefits Administration, i.e. enrolment of new employees in the company’s Group Health & Life Plans as they become eligible and processing of Health Claims for settlement.  Assists in preparing packages for Health Claims to be submitted for settlement. Liaises with the company’s Brokers to follow-up on outstanding claims and queries.
  4. Responds to staff queries pertaining to any HR matters under the guidance of the Senior Human Resource Officer and/or the General Manager/designated manager.
  5. Prepares/drafts various correspondence for the HR Department e.g. Offer, job, and confirmation letters, contracts, spreadsheets and sends email reminder requests re: performance evaluation reports etc.
  6. Prepares packages for submission of applications for work permits or extensions for foreign staff, and liaises with staff at the Work Permit Section of the Ministry of National Security to follow up on the status of said applications.
  7. Provides general advice and disseminates information to management and employees on personnel policies and procedures, and benefits as required.
  8. Assists in preparation of advertisements for staff vacancies, when necessary.
  9. Assists in the dissemination of information on and the processing of Applications for Privileges to Admit and/or Treat Patients at Medcorp, and with the maintenance and update of doctors’ files to ensure all relevant information (qualifications, full Medical Board of T&T registration, valid medical licence and professional indemnity coverage) is on record and up-to-date.
  10. Liaises with suppliers, distributes and maintains records of Uniforms issued to Administrative/Clerical staff and that payroll deduction forms are completed by staff who request/order extra uniforms.
  11. Performs any other responsibilities or duties assigned or as required.
