The HR & Training Specialist will play a pivotal role in optimizing customer experience, training and developing team members, HR administration, nurturing company culture and assisting the Managing Director.

Key Responsibilities

1. HR Administration & Compliance

  • Onboarding & Lifecycle: Manage the full employee onboarding process, ensuring a welcoming and structured introduction to the company.
  • Asset & Tool Tracking: Oversee the distribution, tracking, and collection of company tools and assets (e.g., keys, IDs, health cards, tech equipment).
  • Records Management: Maintain accurate, confidential, and up-to-date physical and digital employee HR files.
  • Leave Management: Track and manage staff leave requests (vacation, sick, casual) in alignment with company policy.
  • Disciplinary Support: Sit in on disciplinary hearings as an HR representative to take minutes, ensure due process, and maintain objective documentation.
  • Performance Reviews: Assist managers in tracking and documenting annual or probationary performance review timelines.
  • Issue ID cards to all Staff members

2. Benefits & Insurance Management

  • Policy Oversight:Serve as the primary liaison for the company’s Health and Life insurance providers.
  • Staff Liaison: Educate staff on their benefits, handle queries, and coordinate the collection, distribution, and renewal of insurance cards.

3. Training & Employee Development

  • Customer Service Delivery: Directly facilitate and conduct regular Customer Service training sessions for all staff members.
  • Training Plans: Partner with department managers to identify skill gaps and develop individualized training plans for employees.
  • External Training Coordination: Identify external training needs; source vendors and arrange programs subject to budget approval.
  • Training Evaluation: Measure the effectiveness of training programs through feedback surveys and performance tracking.

4. Employee Engagement & Culture

  • Engagement Activities: Concept, plan, and execute staff engagement initiatives, team-building events, and wellness activities.
  • Content Coordination: Collaborate with the Social Media Coordinator to plan and execute internal video shoots, staff spotlights, and culture-related content.

5. Executive Assistance

  • Managing Director Support: Provide comprehensive administrative support to the Managing Director, including scheduling, correspondence, and task tracking.
  • Meeting Management: Prepare agendas, take detailed minutes for executive meetings, and follow up on action items as directed.

Job Qualifications & Skills

  • Education: Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • Experience: 3–5 years of experience in an HR generalist, training, or dual HR/Executive Assistant role.
  • Trainer Capabilities: Proven experience delivering training or public speaking (specifically in Customer Service).
  • Soft Skills: Exceptional interpersonal skills, strong emotional intelligence, and absolute discretion regarding confidential data.
  • Organization: Masterful multitasking abilities with sharp attention to detail.
