Job Summary

Our client is seeking a highly organized and proactive HR & Office Administrator to support responsibilities to provide executive-level administrative coordination and assist with core human resource functions. This role requires a high degree of professionalism, discretion, and the ability to manage multiple priorities while supporting senior leadership and contributing to the smooth day-to-day operations of the organization.

Key Responsibilities

Executive & Administrative Support

  • Provide comprehensive administrative support to senior leadership, including calendar management, meeting coordination, and correspondence handling
  • Prepare reports, presentations, and internal documentation as required
  • Coordinate meetings, events, and logistics, ensuring all arrangements are efficiently executed
  • Maintain and organize confidential files, records, and documentation systems
  • Assist with procurement and general office coordination activities
  • Assist with onboarding processes, including preparation of documentation and coordination of employee orientation
  • Maintain and update employee records within internal systems
  • Support training and development initiatives, including scheduling and logistics coordination
  • Assist with benefits administration and respond to employee queries where required
  • Monitor and track employee-related documentation such as certifications, permits, and compliance requirement.
  • Act as a liaison between departments to ensure effective communication and timely follow-up on key initiatives.
  • Support internal communication efforts and assist in the dissemination of company updates.
  • Coordinate company activities and support initiatives related to employee engagement and corporate social responsibility.
  • Assist in monitoring and tracking budgets related to administrative or assigned projects
  • Always ensure confidentiality of sensitive information
  • Support continuous improvement of administrative processes and workflows
  • Perform additional duties as required to support business operations

 

Qualifications & Experience

  • Bachelor’s degree in Business Administration, Human Resource Management, Communications, or a related field
  • Minimum of 3–4 years’ experience in an administrative or HR support role
  • Formal training in Office Administration or HR is considered an asset
