HR Employee Coordinator

 

 

SUMMARY

Supports the Human Resources department by performing core HR operations including employee onboarding, benefits administration, engagement activities, employee relations, records management, and compliance. Coordinates various employee programs to support employee well-being, recognition, benefits, and corporate social responsibility while promoting productivity, retention and a positive workplace environment at the Jamaica Center.

 

QUALIFICATIONS:

SALARY RANGE: 

$1.8-$2.2 mil per year.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

1. HR Policies & Compliance

• Assists HR Manager with communication, education, updates and enforcement of employee policies, procedures and practices.

• Identifies legal requirements and government reporting regulations affecting human resources functions and ensures policies, procedures, and reporting are in compliance.

• Responds to inquiries regarding policies, procedures, and programs.

• Participates in the annual review of the employee handbook and related forms; Regularly reviews processes and updates them as per audit recommendations.

2. Employee Onboarding & Orientation

• Conducts new employee orientation under the direction of the HR Manager to foster knowledge, compliance and positive attitude toward company goals; Prepares and uses required electronic and printed materials.

• Assists the HR Manager with onboarding/promotions of new leadership staff, including the leadership onboarding checklist; Coordinates registration for New Leader Assimilation and other professional development.

3. Benefits Administration

• Actively manages and executes all employee benefits programs.

• Manages the setup, tracking, and notifications for employee insurance and pension benefits; ensures employees are enrolled in the correct insurance plans and provides updates as necessary; answers eligibility questions.

• Researches potential new benefits and proposes them to HR Manager.

• Stays current on trends to ensure the company's benefits package remains competitive.

• Coordinates the center's tuition reimbursement program; Creates ongoing education, manages participation, tracking, eligibility and deadlines

• Serves as a liaison between employees and the U.S. Benefits team to resolve issues and ensure benefits are properly managed.

• Assists with related reporting and resolution on topics such as LOA, vacation time, etc. when needed.

4. Employee Well-Being & Wellness Programs

• Promotes and educates employees on resources including the Employee Assistance Program (EAP) and Employee Wellness Connection (EWC).

• Develops and implements activities promoting wellness, publicizes, and reports on participation.

5. Employee Engagement & Recognition

• Plans and assists with employee engagement and service activities each month, as a member of the HR team; Coordinates as directed with global team.

• Coordinate employee Rewards & Recognition ceremony including gathering quotes, making purchases, coordinating with the company's Unique Boutique team, publicity and facilitation.

6. Corporate Social Responsibility (CSR)

• Coordinates Corporate Social Responsibility (CSR) initiatives and employee "give back" programs, including reporting of participation, monthly CSR summary report and pictures.

7. Employee Records & Documentation

• Monitors and maintains employee records, including personnel files in soft and hard copy, new hire paperwork and processes, and records correction using consistent and uniform processes; scans and files new hire paperwork within a week of receipt.

• Assists HR Manager in keeping records of promotions, performance reviews, and terminations, and employee statistics for government reporting.

• Coordinates required steps for end of probationary period such as end of probation letters, salary increase notices & reports. • Administers criminal background policies and procedure, police records process, as well as drug screenings consistently and according to established procedures.

• Develops and maintains a resource binder for policies and procedures relevant to this position in both electronic and hard copy.

8. Employee Relations

• Handles moderate employee relations concerns which are within scope of knowledge and responsibilities and provides guidance and support; May assist HR Manager and participate in investigations/arbitration; Assists in conducting focus groups as directed.

• Gathers information, creates reports and notices, investigates and schedules meetings and hearings according to the disciplinary process; Prepares employee separation notices and related documentation.

• May represent organization at personnel-related hearings and investigations, based on experience and knowledge.

• Conducts exit interviews to determine reasons behind separations.

9. Workplace Culture & Engagement Surveys

• Leads center efforts to promote the Winning Culture Survey, drive participation and assist with sharing results.

• Helps to facilitate the WCS Task Force to address employee needs, concerns, and improvements; Collaborate with cross-functional teams to implement solutions.

• Conduct regular walk-arounds to check on the workplace environment (culture, safety, policies, company standards)

10. Safety & Security

• Maintains a safe and secure working environment for all employees by working with the crisis management team and the company and center leaders.

• Assists as a member of HR with enforcement of safety procedures and promoting general workplace safety. • May perform clean desk audits.

11. Training & Development

• Collaborates with the LD&E team on programs such as Aspiring Leader and New Leader Assimilation, including promotion and registration.

• Develop into a SME (subject-matter expert) able to conduct the HR and Benefits portion of New Leader Assimilation for HR policies, benefits, and the importance of employee wellbeing.

• Assist employees in completing career roadmaps; May assist in creating and updating roadmaps.

12. Travel, Transportation & Hospitality

• Handles administrative tasks such as bus schedule, airport pick up, reporting, and various other.

• Assists with initiating and coordinating work permits and immigration details as needed for staff traveling to/from Jamaica.

• Arranges travel accommodations for employees traveling internationally; Ensure compliance with company travel policies and government regulations.

• Assists as a back-up with inspection and needs of corporate housing to ensure quality hospitality and compliance.

13. Communications

• Writes and contributes articles for the company newsletter, including photos of company events and initiatives.

• Prepares correspondence, flyers, spreadsheets, etc. as necessary.

14. Annual Projects & Initiatives

• Annual Handbook Acknowledgement project - Ensures that all employees acknowledge the annual employee handbook update; Track acknowledgments and follow up on any missing submissions.

• Annual Job Description updates project – Coordinates the review and update of the center's job descriptions for all roles annually.

15. Administrative Support

• Assist with administrative duties such as answering phones and greeting visitors, providing back-up support to the Receptionist when needed.

• Creates and/or updates related reports, some on a regular basis and some ad hoc (i.e. Jamaica monthly demographics report).

• Gathers quotes/pricing for resources and services needed at the center.

• Coordinates with vendors and ensure timely delivery.

• Assists the HR team in any way based on knowledge and skills, as directed.

• Completes special projects when needed at the direction of the HR Manager.

Applicable labor, pay, and employment laws; Computer programs including Word, Excel, Power Point, and Outlook; Payroll/employee systems; telephone system and its' functions; copier/scanner/printer. Company policies and procedures as outlined in Employee Handbook and Leadership Manual; General knowledge of Human Resources; Working knowledge of employment-related laws and practices; All company benefits; Trends in employee relations and benefit administration and human relations in order to communicate with all levels of employees.

REQUIRED QUALIFICATIONS & EXPERIENCE

  • Bachelor's degree preferred; or two years related experience and/or training in Human Resources; or equivalent combination of education and experience. 
  • Previous HR experience required. Current applicable HR certification preferred or current enrollment in a study program for HR certification preferred but not required. 
  • Previous call center or BPO experience is a plus.
  • Valid driver's license/Government ID. 
  • Preferred, but not required: Certified in Employee Law, Professional Human Resource
