General Description of Job
This position is responsible for providing administrative support in respect of insurance, uniform, tea supplies, onboarding and separation processes for Guardsman Metaverse and Guardsman Security Limited. This position plays a key role in supporting the department’s daily activities and overall administrative requirements to ensure that the needs of all team members are met, and the departments and Company’s standards are consistently maintained.

Key Activities & Responsibilities

  1. Assist in staff recruitment and processing of employee in relations to Insurance and Uniform requirements.

  2. Manage the procurement and distribution of tea supplies for CCC (CMS, Roster Room and Duty Office) and Transport Department as required.

  3. Manage employee death, personal accident, and medical claims with compliance and accuracy.

  4. Provide emotional and practical support for employees facing personal or professional challenges, including crisis support and education on well-being.

  5. Process offboarding requests within five business days and assist employees nearing retirement with transitions.

  6. Handle benefits enrolment, updates, and health card distribution, ensuring timely processing and employee support.

  7. Oversee uniform issuance, returns, and inventory, ensuring compliance with policies and managing vendor orders.

  8. Coordinate medical care and liaise with next-of-kin for unwell employees; process medical invoices with vendors.

  9. Notify relevant parties of employee status changes (e.g., separation, retirement) and ensure adherence to policies and timelines.

  10. Support HR-related projects, social activities, and initiatives for team building and staff satisfaction.

  11. Address and resolve staff issues and complaints daily.

  12. Any other related duties you may be called upon to perform.

Required Qualifications & Work Experience

  • Bachelor’s degree in HR, Business Administration; or Equivalent combination of experience and education.

  • Training in Human Resource management or related disciplines.

  • At least 1-year experience in General Administration.

  • Proficiency in Microsoft Office Products (Word, Excel, PowerPoint, etc.).

  • Demonstrated skills in accurate record keeping.
