The HR Assistant provides crucial support in HR communication, technology and systems management, and employee relations and HR administration. This role ensures efficient HR operations, accurate documentation, and effective communication within the HR department.

KEY RESPONSIBILITIES:

HR Communication

  • Support the creation and dissemination of HR-related communications, including policy updates, company announcements, and employee newsletters.
  • Coordinate the effective use of communication channels such as TVs, Newsletter, Intranet, Emails, and Bulletin Boards.

HR Technology and Systems Management

  • Ensure that all HR documentation is accurately aligned with the HR Information System (HRIS) and updated regularly.
  • Assist in the implementation and maintenance of HR technologies and systems.
  • Verify and ensure the accuracy of data via the HRIS audits. 

HR Administration

  • Prepare employment letters, contracts, and other HR documentation.
  • Maintain and update employee records (physical and digital), ensuring accuracy and compliance with legal and company requirements.
  • Coordinate training initiatives including vendor sourcing, employee notification, and other logistic arrangements.
  • Complete accurate minute taking for meetings as required.
  • Assist in the recruitment process by conducting candidate screenings, scheduling interviews, reference checks, and preparing interview packages.
  • Coordinate the onboarding of employees including packages, and complete employee exits.
  • Manage employee benefits administration (Group Health & Life Plans, Pension Plan administration, employee uniforms).
  • Maintain an accurate and updated Key Performance Indicators (KPI) library.
  • Complete invoice requisitions; and maintain and efficient filing system for document retrieval.

Employee Relations 

  • Coordinate employee engagement surveys, camraderie events, and other corporate engagements.
  • Provides support in industrial relations matters (disciplinary letters, investigations, minute taking).
  • Assist with employee recognition initiatives.

HR Technologies and Systems

  • Ensure HR documentation is accurately aligned with the HR Information System (HRIS).
  • Assist in the implementation and maintenance of HR technologies and systems.
  • Monitor and ensure the accuracy of data via HRIS audits. 

Other

  • Assist in monthly/annual stock taking as needed
  • Comply with all EIGL Policies
  • Any other duties as required 
QUALIFICATIONS & EXPERIENCE:
  • Bachelor's degree in Human Resources Management/Business Management or similar discipline
  • 1-2 years working experience in Human Resources 
  • Experience working in a Manufacturing or Production environment is an asset
  • Proficient in the use of Jantek and HRIS
  • High proficiency in MS Office suite
  • Keen attention to detail
  • Ability to handle sensitive and confidential information with discretion.
