Groups & Events Coordinator

Key Responsibilities

• Manage the planning and execution of all assigned weddings, groups, conventions, and social events.
• Establish effective and efficient communication with wedding and group planners via email and phone.
• Handle the sale of additional services for weddings and groups (upselling).
• Coordinate on-site Inspection Visits, ensuring VIP courtesies are arranged, to facilitate the successful closing of business.
• Issue proposals, contracts, and quotations to clients or agencies for groups and weddings.
• Manage collection of payments for additional services, due 45 days before the event.
• Prepare and send Banquet Event Orders (BEOs) to all involved departments.
• Update and maintain the Groups Forecast, Event Schedule, and Wedding Calendar.
• Process and manage all necessary documents for the civil registry for legal weddings, including payment and delivery.
• Supervise the assembly of events, working closely with external suppliers and internal hotel departments.

Required Skills and Experience

• Proven experience in event planning and coordination, preferably within the hospitality/resort industry.
• Strong organizational, communication, and sales skills.
• A detail-oriented approach to contract, budget, and logistical management.
