Responsible for the planning, budgeting, tracking, and reporting of all capital expenditure and major maintenance projects across the hotel group. Owns documentation, timelines, contractor coordination, and financial tracking.

JOB SUMMARY

Responsible for the planning, budgeting, tracking, and reporting of all capital expenditure and major maintenance projects across the hotel group. Owns documentation, timelines, contractor coordination, and financial tracking.

 

KEY RESPONSIBILITIES

Capital Expenditure (CapEx) Planning

  • Maintain rolling 12–24 month capital plan
  • Develop project briefs and scope documents
  • Gather and compare contractor quotations
  • Build cost-benefit analyses

Project Management
  • Develop project timelines (Gantt format)
  • Track milestone completion
  • Coordinate contractors and suppliers
  • Lead project meetings
  • Maintain risk log
 
Financial Control
  • Track approved vs actual spend
  • Forecast variances early
  • Work closely with Finance on payment schedules
 
Reporting to be produced:
  • Weekly project tracker
  • Monthly CAPEX status report
  • Budget vs actual dashboard
  • Asset replacement forecast

Asset Management
  • Maintain asset register
  • Track warranties
  • Maintain equipment lifecycle schedules
 
Key Performance Indicators
  • Projects delivered within ±5–10% of budget
  • On-time completion rate
  • Reporting accuracy
  • Reduction in project overruns
  • Improved capital forecasting accuracy
 
REQUIREMENTS, SKILLS AND PERSONAL ATTRIBUTES
Requirements
  • Bachelor’s Degree in Engineering, Project Management, Construction Management, Finance, or a related field
  • Project Management certification (e.g., PMP, PRINCE2) is an asset
  • Minimum of 5–8 years’ experience in project management, capital planning, or asset management
  • Proven experience managing capital expenditure (CapEx) projects from planning through to execution
  • Demonstrated experience in budgeting, cost tracking, and financial reporting for projects
  • Experience coordinating contractors, suppliers, and cross-functional stakeholders
  • Working knowledge of asset management principles, including lifecycle planning and asset registers
  • Experience within hospitality, facilities management, construction, or a multi-site environment is preferred

Skills
  • Strong project management skills, including planning, scheduling (Gantt charts), and milestone tracking
  • Solid financial acumen, with the ability to build cost-benefit analyses and monitor budget vs actual performance
  • High level of organization and attention to detail, particularly in tracking multiple projects simultaneously 
  • Strong analytical skills, with the ability to forecast risks, variances, and capital needs
  • Effective stakeholder management and communication skills
  • Ability to lead meetings, coordinate teams, and drive project timelines
  • Proficiency in Microsoft Excel and project tracking tools; experience with project management software is an asset
