Position: Group Procurement Officer

Company Overview: A growing, multi-faceted, customer-centric retail organisation requires a dynamic individual to join our team in the role of Group Procurement Officer. Our companies specialise in the retailing of gifts, novelties, and food products—both locally produced and imported—through a network that includes a gifting company, online store, and an airport retail location.

Job Summary:  The successful candidate will be responsible for directing and executing the procurement function in alignment with the company’s procurement guidelines and policies. The role demands high-quality standards, cost optimisation, and strict adherence to deadlines while managing a diverse range of perishable and non-perishable goods. The ideal candidate will play a key role in supporting seasonal product launches, retail operations, and compliance with airport and food industry regulations.

Key Accountabilities:

  • Direct and execute the procurement function for a wide range of perishable and non-perishable consumer goods, in accordance with company guidelines and policies.
  • Source and procure new, innovative, and brand-aligned products to meet changing consumer needs and seasonal gifting demands.
  • Collaborate with Sales, Marketing, and Production to ensure procurement supports sales events, gift collections, and promotional campaigns.
  • Liaise with department heads to monitor and evaluate product performance and inform about new product introductions.
  • Forecast and plan purchases in alignment with the company’s travel/gifting calendar, ensuring a buffer stock is maintained for high-traffic seasons.
  • Establish and manage procurement protocols for perishables, including shelf-life management, food safety standards, and cold chain logistics.
  • Ensure procurement activities comply with airport-specific and food retail regulations, including packaging, labelling, and security requirements.
  • Manage logistics and stock movements between the warehouse, production unit, retail stores, and airport locations.
  • Maintain positive, collaborative relationships with vendors and evaluate supplier performance using scorecards.
  • Negotiate contracts with vendors and suppliers to achieve optimal cost savings while maintaining product quality and delivery standards.
  • Monitor and report on industry trends and consumer purchasing behaviours.
  • Secure and manage permits, licenses, and import documentation to ensure regulatory compliance.
  • Coordinate customs clearance through brokers and ensure timely and cost-effective delivery of goods.
  • Oversee and verify the receipt, condition, and invoicing of all incoming goods.
  • Maintain vendor database and accurate records, including costs, delivery times, and quality standards.
  • Prepare procurement budgets, conduct cost analyses, and provide monthly internal performance reports.
  • Report directly to the Managing Director.

 

Qualifications & Experience:

  • Tertiary degree in Business Administration or a related discipline.
  • Minimum of three (3) years’ experience in supply chain management in a medium-sized organization.
  • Supervisory-level experience in purchasing and inventory control.
  • Experience in retail merchandising and procurement of perishable goods is a strong asset.
