We’re hiring a Fleet Compliance Associate to maintain vehicle records, track renewals, and support regulatory compliance. Ideal for a detail-oriented professional with strong administrative skills.

Job Summary

The Fleet Compliance Associate will assist in monitoring vehicle record-keeping and ensure compliance with local and company regulations. This role is crucial for supporting the Fleet Compliance Officer in ensuring that the fleet of vehicles adheres to all legal regulatory and company-specific standards.

Duties and Responsibilities

  • Fleet Records Management: Maintain accurate, complete, and up-to-date records for all fleet vehicles by ensuring documentation is properly recorded, securely stored, and updated within fleet management systems in compliance with regulatory requirements.
  • Regulatory Compliance & Documentation: Ensure all fleet vehicles meet local regulatory, registration, fitness, insurance, and carrier licence requirements by coordinating documentation, monitoring expiry dates, and supporting timely renewals.
  • Audit Preparation & Reporting: Support internal and external audits by organizing, reviewing, and maintaining compliance documentation, and assist in the preparation of compliance reports for management review.
  • Compliance Monitoring & Risk Mitigation: Stay informed of changes in fleet-related regulatory requirements, communicate updates to internal stakeholders, and support the identification of non-compliance risks and the development of mitigation strategies.
  • Stakeholder & Driver Communication: Act as a liaison between the Fleet Compliance Officer, internal teams, and drivers to communicate compliance requirements, address queries, and promote adherence to fleet policies.
  • Administrative & Operational Support: Provide administrative support related to fleet compliance, including data entry, responding to compliance inquiries, preparing renewal documentation, and performing other related duties consistent with the objectives of the role.

 

Qualifications & Experience

  • Associate's degree or equivalent in business administration, transportation management, or a related field.
  • Basic knowledge of local regulations governing motor vehicle maintenance.
  • At least 2 years of experience in client relations, customer service, or a similar role, preferably in the automotive or vehicle maintenance industry.
