The incumbent will provide key support to the Accounting Department through the preparation of financial reports, supervision of accounts staff, and oversight of daily accounting activities including accounts payable, receivables, and invoicing.

Position Summary:

The incumbent will provide key support to the Accounting Department through the preparation of financial reports, supervision of accounts staff, and oversight of daily accounting activities including accounts payable, receivables, and invoicing. The role requires strong attention to detail, analytical thinking, and the ability to meet strict reporting deadlines.

 

Key Responsibilities:

  • Manage and process petty cash disbursements in a timely and accurate manner.
  • Ensure all petty cash transactions are properly supported by receipts, authorized, and reconciled before month-end close.
  • Prepare and submit periodic petty cash and financial reports for internal review.
  • Generate and issue invoices to clients upon request, ensuring accuracy and compliance with established procedures.
  • Verify, upload, and maintain records for all vendor invoices, utilities, and statutory payments.
  • Review and correct discrepancies in uploaded invoices and petty cash entries to maintain data accuracy.
  • Prepare and issue cheque and online payments, including refunds, in accordance with approval procedures.
  • Maintain and monitor accounts payable schedules to ensure timely settlements and minimal outstanding balances.
  • Perform vendor and petty cash reconciliations as directed by the Finance Manager.
  • Assist in preparing submissions and reconciliations related to outstanding payables and advances.
  • Support the preparation and reconciliation of bank accounts, online payments, and collections.
  • Ensure accounting periods are closed in accordance with reporting deadlines.
  • Assist with data collection, collation, and preparation of management reports within established timelines.
  • Support the audit process through preparation of schedules, reports, and required documentation, and liaise with auditors as needed.
  • Maintain organized, up-to-date accounting records and coordinate with team members to ensure efficient document management.
  • Uphold company policies and reporting standards, contributing to the achievement of departmental KPIs.
  • Foster professional relationships with internal and external stakeholders while delivering a high level of customer service.

Qualifications and Experience:

  • Bachelor’s Degree in Accounting and Finance or completion of ACCA Level II
  • Minimum of five (5) CSEC/O’ Level passes, including English, and Mathematics
  • At least four (4) years’ experiences in an accounting or finance environment.
  • Demonstrated experience in accounts receivable, accounts payable, tax, and statutory submissions.
  • Experience preparing audit schedules and responses for financial audits.
  • Proficiency in Microsoft Office Application
