The Finance Officer plays a key role in ensuring the accuracy, integrity, and efficiency of all financial processes within MAG’s Caribbean programme.

The Finance Officer plays a key role in ensuring the accuracy, integrity, and efficiency of all financial processes within MAG’s Caribbean programme. Working closely with the Regional Programme Manager and Regional Finance Manager, the Finance Officer supports payroll, accounting, budgeting, and compliance functions. The ideal candidate will be meticulous, reliable, and solutions-oriented, with the ability to work independently while upholding high standards of financial management and accountability.

Responsibilities

Payroll

  • Ensure accuracy of the data entered into payroll records to ensure all national staff salaries and international staff statutory payments are paid correctly.
  • Conduct all data processing, including data entry, producing payslips, reports etc.
  • Ensure that the programme complies with all statutory payments, requirements and deductions

Accounting & Compliance

  • Support the development and implementation of transparent accounting and cost allocation systems in line with MAG UK and donor requirements
  • Prepare and post monthly cash and bank statements, payroll, prepayments, and journals into MAG’s accounting system (PSF)
  • Ensure a high level of financial control is in place across all activities (in all locations), including the development and maintenance of financial policies and procedures (tailored to the local context) to ensure compliance with Statutory, Client and MAG UK Finance requirements and policies
  • Ensure compliance with all relevant statutory legislation, including company registration and tax obligations (Income Tax, NIS, VAT, Corporation Tax, etc.)
  • Ensure that robust financial controls are in place across all programme activities
  • Maintain accurate and complete accounting records, ensuring timely and secure processing of all transactions
  • Conduct regular reconciliations, including monthly bank reconciliations and balance sheet reconciliations for liabilities, payroll, salary drawdowns, advances, and debtors
  • Support the Regional Finance Manager to prepare monthly financial reports or others as required.

Cash Flow & Payments

  • Manage short-term cash flow requirements and coordinate cash transfers with MAG UK
  • Monitor and report on exchange rate fluctuations affecting contract and local currencies
  • Maintain appropriate cash balances in the office safe and conduct regular cash counts, reporting discrepancies immediately
  • Ensure timely and accurate payment of all regular and ad hoc expenses
  • Review and process payment requests in accordance with policy and project/financial coding systems
  • Update the daily cashbook and budget management sheets with transactions and advances

Budgeting, Forecasting & Reporting

  • Support budget monitoring and project spending reviews in coordination with programme management
  • Assist with financial forecasting and contribute to the preparation of monthly financial reports
  • Help maintain and improve budget tracking tools to ensure real-time monitoring of programme finances
  • Support donor and internal audits, ensuring timely provision of all necessary documentation

Systems & Procedures

  • Contribute to the development and documentation of local financial procedures to ensure alignment with MAG UK, donor, and legal requirements
  • Maintain well-organised physical and digital financial records, ensuring ease of access and audit readiness
  • Continuously look for ways to improve financial systems and processes for greater efficiency and accuracy

General Responsibilities

  • Perform other duties as requested and assigned by the Line Manager

Essential requirements 

  • Tertiary education in accounting (with professional accreditation highly desirable).
  • 3–5 years’ experience in a finance, accounting, or bookkeeping role, with proven experience in financial systems, reconciliations, and process improvements.
  • Minimum 3 years’ hands-on experience in budget preparation, monitoring, and forecasting with demonstrated ability to support financial planning and analysis.
  • Meticulous attention to detail and a strong commitment to accuracy and data integrity.
  • Proven experience in the management of cash flow maintaining accurate records, and ensuring timely payments.
  • Strong organisational skills and the ability to follow through on tasks.
  • Ability to work independently with minimal supervision, while maintaining a high standard of output.
  • Proficient in Microsoft Excel, Word, and financial databases.
  • Ability to demonstrate initiative, be proactive and offer a solution-oriented approach.
  • Determined and committed to high quality standards.
  • Interest in and commitment to MAG’s humanitarian mandate.
