This position will be responsible for assisting with various financial processes, including but not limited to handling ad-hoc financial requests and meticulously managing our fixed asset and inventory registers.

Reports to: Finance Manager 

Job Summary:

We are currently in search of a skilled Finance Coordinator specializing in Accounts Payable and Fixed Assets to support the financial operations of our school. In this position, will be responsible for assisting with various financial processes, including but not limited to handling ad-hoc financial requests and meticulously managing our fixed asset and inventory registers. The ideal candidate will possess a keen eye for detail, strong analytical capabilities, and a thorough understanding of accounts payable and fixed asset management principles. 

 

Key Responsibilities:

  • Manage the Petty Cash needs of the school, reconciling on a weekly basis.

  • Prepare and disseminate purchase requisitions/purchase orders as necessary and ensure the accounting system is updated accordingly.

  • Ensure all invoices are approved in accordance with the appropriate delegation of authority and contractual terms, promptly reporting any discrepancies to the relevant functional head.

  • Monitor open and overdue invoices against POs, communicating and following up accordingly with relevant stakeholders.

  • Ensure monthly invoice payment targets are met (100% OTP - On-Time Payment).

  • Manage exceptions arising from automated system payment runs, analyzing root causes and resolving failed or rejected payments. Recommend remediation or process improvement as needed.

  • Update banking information for vendors when required.

  • Resolving outstanding invoice issues escalated as the first point of escalation.

  • Perform monthly, quarterly, and year-end close activities, ensuring completion of GL reconciliations.

  • Provide payables-related advice and information as required.

  • Support the business with ad-hoc financial requests and queries, including audit requests.

  • Manage the Fixed Asset and Inventory registers ensuring all new/disposed assets are accounted for appropriately, monthly depreciation is calculated and recorded timely and annual Fixed Asset reviews are conducted with relevant departments.

Minimum requirements:

  • Financials In Accounting (FIA) or ACCA Level II or an equivalent degree in Finance or Business.

  • Possess a minimum of 3-5 years of experience in a similar position.

  • Demonstrate proficiency in relevant accounting packages and Microsoft Office Suite applications.

  • Exhibit sensitivity to time deadlines and ensure timely completion of tasks.

  • Ability to prioritize tasks effectively and work efficiently.

  • Uphold integrity and maintain confidentiality in handling sensitive information.

  • Proficiency in using accounting software and Microsoft Office Suite.

  • Strong analytical and problem-solving skills.

  • Display excellent attention to detail and accuracy.

  • Capable of working independently and collaboratively within a team.

  • Possess strong communication and interpersonal skills.
