The Facilities and Maintenance Manager will oversee all building, installation, refurbishing, repair and upkeep operations of the Company’s facilities.

The incumbent will be required to have a solid understanding of plumbing and electrical systems, carpentry, construction and related fields. The individual should be well-versed in all maintenance processes and health and safety regulations and will be required to interface with engineers, general contractors, architects, and other consultants to ensure smooth implementation of offices and retail spaces as required. The Facilities & Maintenance Manager will also be expected to lead with a continuous improvement mindset while identifying opportunities to create efficiencies and drive productivity.

Job Purpose and Responsibility 

Facilities and Maintenance Manager will be responsible for but not limited to the following: -

  •  The ongoing implementation and management of the Groups Health and Safety policies including policy development, implementation and reporting to required internal and external authorities.
  • Management of the Groups physical properties to required standards within budget
  • Implementation and management of the Groups Health and Safety policies and procedures including day to day oversight of adherence, reporting to all internal and external authorities and the ongoing recommendations for continuous improvement and compliance to required standards.
  • Co-ordinates all communications and Health and safety related activities for employees across the Group.
  • Revision of lease, construction agreements, service agreements, purchase orders and other related documents
  • Develop and implement maintenance policies and procedures including disaster preparedness and emergency management plans
  • Responsible for strategic planning of all department activities, including capital expenditure
  • Oversee, plan and coordinate inspections, repairs, installations and construction activities 
  • Direct and supervise maintenance staff and contractors
  • Monitor expenses and control the annual budget
  • Manage relationships with contractors and service providers
  • Ensure that accurate records of all department activities and projects are maintained
  • Ensure compliance with established health and safety policies and procedures
  • Develop maintenance schedules for Facilities & Maintenance Officers and related work teams
  • Review all related contracts/agreements to ensure compliance and that terms and conditions are implemented
  • Review utilities consumption and implement cost minimization strategies
  • Manage all projects, service agreements and day to day maintenance needs ensuring the successful execution of each within budgeted parameters and aesthetics in a timely basis
  • Monitor and enforce compliance with applicable lease requirements, rules and regulations, company policies and procedures, statutory codes, ordinances and environmental laws
  • Minimize risk management exposure, establish best practices to proactively prevent accidents and insurance claims; and work with the Group Risk Management team on handling and reporting of claims
  • Overall management of the Groups fleet of vehicles including regular cleaning and maintenance and alerting the Company to any issues or expiries of vehicle stock. Ensuring that all vehicles are in good order as it relates to licensing, insurance, and any other requirements.
  • Liaise with insurance brokers and providers to secure competitive rates and appropriate coverage for company buildings and vehicle fleets, while ensuring cost efficiency and compliance.
  • Ensuring that all reporting to internal or external authorities regarding fleet management systems and accident reporting are conducted to standard.
  • Project manager for specific projects within the portfolio of Health and Safety, Fleet Maintenance and Property Management ensuring that all projects are executed to plan and budget. 
  • Leads the Facilities and maintenance team and ensure all HR requirements for performance management, training and development, health and safety and company communications are implemented to standard.
  • Perform other duties as assigned by the SVP, People & Corporate Services.

Qualifications & Experience

  • Bachelor’s Degree in Engineering, Construction Management, Architecture or similar discipline
  • Specialist Certification in Health and Safety, Project Management and/or Property Management an asset.
  • A minimum of three (3) years’ experience as a Facilities & Maintenance Manager, Project Manager or in a management role of a similar capacity.
  • Familiarity with design, planning, installation and maintenance of all types of buildings.
  • Solid understanding of the technical aspects of plumbing, carpentry, electrical systems, construction, landscaping and preventative maintenance procedures
  • Sound understanding of and experience with energy management and conservation procedures and initiatives
