Facilities Officer

 

The Students’ Loan Bureau (SLB) invites applications from suitably qualified persons for the following position:

 

Facilities Officer (Level 3)

 

The Facilities Officer is accountable for the effective and efficient preventive and corrective maintenance to infrastructure, furniture, equipment and motor vehicles in order that SLB achieves its Mission, Vision and Major Targets in a sustainable manner.

 

Duties and Responsibilities

  1. Coordinate arrangements for servicing, general upkeep, registration, and insurance of the Bureau’s vehicles, and liaise with service and parts providers, ensuring the smooth running of vehicle-related operations.
  2. Maintain the Bureau’s Advance Card, ensuring that users are not inconvenienced due to card issues.
  3. Liaise with property owners, individual or corporate, and administer lease management on behalf of the Bureau, ensuring smooth and efficient lease management.
  4. Monitor contractor performance, ensuring adherence to terms and conditions of contracts.
  5. Maintain records of all service contracts and notify the relevant stakeholders of impending expiration, ensuring timely and efficient notification.
  6. Plan the allocation and utilization of office space and parking spaces, or the reorganizing of current workspace, ensuring efficient and effective use of space.
  7. Monitor parking facilities for customers, as necessary, ensuring smooth operation of parking facilities.
  8. Inspect the physical workplace and determine if repairs are needed, ensuring a safe and functional work environment.
  9. Ensure facilities meet government regulations and environmental, health, and security standards, ensuring compliance with all applicable standards and regulations.
  10. Carry out regular site inspections to check policies and procedures are being properly implemented, ensuring compliance with established policies and procedures.
  11. Perform assessments of the office space and outline safe operational procedures that identify and take account of all relevant hazards, ensuring a safe work environment.
  12. Prepare and coordinate health and safety strategies that will reduce the risk of office health and safety issues, ensuring a safe work environment.
  13. Supervise and coordinate the work of contractors engaged in repairs, renovations, and the construction of Leasehold Improvements, ensuring the successful completion of projects.
  14. Check that agreed work by staff or contractors has been completed satisfactorily and follow up on any deficiencies, ensuring high-quality work standards.
  15. Coordinate the activities, training, and monitoring of emergency wardens, ensuring emergency preparedness.
  16. Respond appropriately to emergencies or urgent issues as they arise and liaise with security providers as required, ensuring the safety of all personnel.
  17. Reconcile and analyse utility bills and rental/lease invoices to verify accuracy and identify inconsistencies prior to recommendation for payment by the Accounts Department, ensuring efficient and accurate billing processes.
  18. Prepare and submit periodic reports as instructed, ensuring timely and accurate reporting.
  19. Oversee the Bureau’s stores to ensure that relevant controls relating to the receipt and distribution of stock items are adhered to, ensuring efficient and effective store management.

 

Qualifications and Experience

  • Associate Degree in Facilities Management or equivalent.
  • Three (3) years’ experience in a similar position.

 

Specific Knowledge Required

  • Knowledge of Property and Facilities Management
  • Knowledge of General Safety, Security and Emergency Management
  • Knowledge of Safety Requirements

Remuneration

  • Basic Salary                            $1,711,060.00 - $2,301,185.00
