Facilities Coordinator

Summary:

 

The incumbent is responsible for, but not limited to, coordinating all activities related to the efficient and effective maintenance of all assigned Facilities to ensure client satisfaction. Where possible, the incumbent should focus on methods of reduction in costs through proper planning, cost management and preventative management.

 

The Facilities Coordinator will be required to work as rostered by the Divisional Manager. It is understood that the incumbent must be available for duty after standard opening hours and on weekends and public holidays as is required, given the nature of the business of the Facilities Division.

 

 

Education, Knowledge and Experience

 

  • NEC Level Qualifications in Building Maintenance/Civil Engineering or related discipline from an accredited academic institution
  • Certificate in OSH
  • Must be proficient in Microsoft Office Suite
  • Excellent communication skills both verbal and written
  • Excellent interpersonal skills
  • Ability to work as a member of a multi-disciplinary team
  • Strong analytical and problem solving skills
  • Ability to prepare letters / reports /spreadsheets/presentations
  • Ability to meet given deadlines
  • Working experience in recording and reporting of financial transactions
  • Experience in supervising a team of employees/Contractors
  • Working knowledge of OSH
  • At least three (3) years’ working experience in a similar role in a large, diverse organization.

Any other combination of equivalent level qualifications and relevant working experience will be considered

 

 

 

Key Duties & Responsibilities:

 

  • Conducts Facility walk-throughs on a daily basis so as to identify potential safety and / or maintenance hazards to ensure that these are properly highlighted and addressed in a timely manner;
  • Provides information / feedback to the Divisional Manager and/or other key internal and external stakeholders on matters of mutual interest;
  • Records and executes all service requests for repairs and maintenance and conducts follow-up as necessary;
  • Logs all service requests for action in a database and provides status updates and feedback to the Divisional Manager, and/or other internal/external stakeholders;
  • Develops Scope of Works and RFPs in a timely manner
  • Monitors and reviews the work of Contractors on site to ensure compliance with contractual obligations
  • Signs off on all Contractor works and processes payment certificates in an efficient and effective manner
  • Evaluates and reports on the performance of Contractors
  • Ensures that Contractors/Stakeholders comply with HSE requirements while on site
  • Maintains a daily log of activities for all Facilities and generates reports as directed
  • Represents the Corporation at official meetings and ensures that the Divisional Manager/Facilities Manager are appropriately updated on all action items as well as timelines for completion
  • Prepares performance appraisal report(s) for junior employees in a timely manner, if required;
  • Reviews the existing internal operations and makes recommendations for improving overall operational effectiveness and efficiency;
  • Assists the Divisional Manager/Facilities Manager in developing and implementing policies and procedures to improve the day to day operations of all assigned Facilities; and
  • Prepares and /or presents business reports on a weekly/monthly basis or as directed by the Manager.

 

Performs any other related duties as may be assigned by the Divisional Manager
