Role Summary
The Facilities Coordinator will oversee the day-to-day management and maintenance of FOWLCO’s facilities, including office buildings, warehouses, yards, and equipment. The role ensures that all facilities operate safely, efficiently, and in compliance with regulatory standards. Responsibilities include vendor coordination, preventive maintenance, facilities procurement, asset management, and supporting operational readiness.
This role requires strong organizational skills, technical knowledge of building and equipment maintenance, and the ability to coordinate with internal teams and external service providers.
Key Responsibilities
Facilities & Asset Management
- Oversee maintenance, repairs, and upkeep of all facilities, including warehouses, yards, and offices.
- Implement and track preventive maintenance schedules for critical equipment and infrastructure.
- Maintain asset registry for facilities, tools, and equipment.
- Support procurement of facility supplies, equipment, and services.
Operations Support
- Work closely with GM and operations leaders to ensure facilities meet operational requirements.
- Monitor utilities usage and implement cost-saving measures.
- Coordinate space planning for warehouses and offices to maximize efficiency.
- Ensure readiness of facilities to support logistics, warehousing, and fleet operations.
Health, Safety & Compliance
- Ensure facilities comply with Bahamian regulatory standards, including fire safety and workplace regulations.
- Support HSE and QA teams in inspections, audits, and safety protocols.
- Respond to emergency situations (e.g., facility breakdowns, safety hazards) with timely corrective action.
Vendor & Contractor Coordination
- Manage service providers and contractors for facility-related services (repairs, cleaning, security, etc.).
- Negotiate contracts and monitor vendor performance.
- Track service agreements and ensure timely renewals.
Reporting & Administration
- Maintain facility records including maintenance logs, vendor contracts, and inspection reports.
- Provide monthly facility performance and expense reports to the GM.
- Support CAPEX projects, including renovations, expansions, or infrastructure upgrades.
Key Performance Indicators (KPIs)
- Preventive maintenance completed on schedule: ≥ 95%.
- Facility-related downtime incidents resolved within SLA (≤ 48 hours).
- Utility cost reduction target: ≥ 5% annually.
- Vendor/contractor compliance with SLAs: ≥ 90%.
- Facility inspections completed quarterly with ≥ 95% compliance.
- 100% of facility records and asset registers updated monthly.
Skills & Competencies
- Strong knowledge of facilities management, building maintenance, and asset management.
- Familiarity with Bahamian building codes, safety standards, and regulatory requirements.
- Strong organizational and vendor management skills.
- Ability to coordinate multiple facility projects and priorities.
- Proficiency in Microsoft Office (Excel, Word) and facility management tools.
- Strong communication and problem-solving skills.
Qualifications & Experience
- Bachelor’s degree in Facilities Management, Engineering, Business Administration, or related field (preferred).
- Minimum 3–5 years’ experience in facilities management, logistics/industrial environment preferred.
- Demonstrated vendor management and contractor coordination experience.
- Experience with preventive maintenance and asset tracking systems.
