The Facilities Associate will be primarily responsible for scheduling preventative maintenance tasks, reacting to maintenance emergencies, and to determine employee, equipment and supply needs for the company.

The Facilities Associate will be primarily responsible for scheduling preventative maintenance tasks, reacting to maintenance emergencies, and to determine employee, equipment and supply needs for the company.

Duties:

  1. Assists with co-ordinating preventative maintenance and managing building and equipment maintenance schedules;
  2. Manages furniture inventory for new purchases, maintenance and repair of existing furniture;
  3. Assists with and repair programs on all building infrastructure;
  4. Assists with promoting health & safety by ensuring that safety standards are followed throughout facility;
  5. Manages the inventory of supplies and reorders as needed.
  6. Liaises with vendors and suppliers on behalf of the company;
  7. Reports to the Operations & Facilities Manager on a regular basis about deficiencies and recommended areas for improvement;
  8. Supervises the Office Attendants and Handymen;
  9. Updates and maintains records to track maintenance and repairs;.
  10. Assist with monitoring budget spending;
  11. Ensure that payment is made for all utilities and facility related bills;
  12. Manages the operations of the Canteen;
  13. Manages the operations of the various meeting rooms;
  14. Assist with monthly reporting;
  15. Ensures equipment assigned to the employees is in proper working order and available for use;
  16. Receives, manages, and processes work order requests; ensures problems are resolved quickly, based on agreed targets;
  17. Acts as liaison between employees and any outside contractors needed to resolve specialized problems;
  18. Participates on the emergency preparedness planning team;
  19. Performs other related duties as assigned.

Required Skills/Abilities:

  1. Excellent verbal and written communication skills;
  2. An adaptable style that is comfortable within a high-energy, action-oriented culture;
  3. Proficient in Microsoft Office Suite or related software necessary to create and maintain reports and logs;
  4. Excellent organizational skills and attention to detail;
  5. Ability to perform well in a fast-paced environment;
  6. The ability to build effective collaborative relationships with a customer focus mindset.

 

Education and Experience:

  • BSc Business Management or related field;
  • At least two years of related experience required;

 

Physical Requirements:

  • Prolonged periods standing and walking throughout facilities, when necessary.
