The incumbent is expected to provide sales administrative support to ensure the efficient operations of the Division’s export business.

Bryden pi Ltd, one of the leading channel-focused distributors of Consumer, Health and Personal Care products in Trinidad and Tobago is on the lookout for the ideal candidate to join our unique family in the position of Export Sales Coordinator within the Food and Grocery Division.

Some Main Responsibilities include: 

  • Create, maintain, and enter information into export databases.
  • Prepare and provide quotes for export customers and follow up with Logistics for CARICOM invoices.
  • Ensure PO's received from customers reflect our product and pricing.
  • Update customer’s PO’s to VAI.
  • Ensure customers are invoiced for all freight charges and forward invoices to them.
  • Invoice clients for products and forward invoices.
  • Maintain internal records of customer orders, customer contacts and documents pertaining to shipments.
  • Resolve customers’ complaints and or queries and refer to Market Development Executive where further assistance is required.
  • Provide administrative support to assist with Management of Drop shipments.
  • Request and review POs from export markets for submission to Market development executive to ensure accuracy in order details, including product specifications, quantities, and pricing.
  • Customer AR Balances - scan, email export customer statements and follow up calls.
  • Emailing requested marketing and promotional material to export customers.
  • Update customers with status of orders and confirm customers’ receipt of goods
  • Prepare letters for sales correspondence as needed. Price Update Letters to be approved by MDE.
  • Liaise with credit department for outstanding credit notes for customers and email to them.
  • Track and update the export sales report and shipment tracking log
  • Assist the Market Development Executive with administrative support and resolution of customer requests as necessary
  • Know our quality policy and all applicable processes and requirements to communicate to the markets supported by our regulatory and quality teams.
  • Preparation and management of Export market assets including trade materials and uniforms.
  • Collaborate with internal stakeholders on export-related matters and deliverables.
  • Perform other duties that may be required to enhance the operations of the Company.

Knowledge and Experience:

  • Diploma in Business Management or related field.
  • A minimum of two (2) years similar experience in a Distribution Company
  • Proficient in Microsoft Office Applications
  • Or relevant combination of training and experience

  • Must possess excellent organizational, communication and interpersonal skills
