Executive Coordinator

A financial institution is seeking a highly organized, proactive, and discreet Executive Coordinator to provide high-level executive and administrative support to senior leadership. This role is ideal for a professional who thrives in a fast-paced environment and is skilled in executive coordination, governance support, and stakeholder management.

Key Responsibilities

  • Provide strategic and confidential support to the General Manager and senior leadership
  • Manage executive calendars, meetings, priorities, and follow-up actions
  • Coordinate Board, Committee, and management meetings, including agendas, board packs, and minutes
  • Prepare executive briefs, reports, presentations, and correspondence
  • Act as a liaison between executive leadership and internal and external stakeholders
  • Track action items and ensure timely completion of executive and governance deliverables
  • Maintain secure electronic and physical records, ensuring proper document control
  • Coordinate travel arrangements, itineraries, and executive logistics
  • Support departmental budgeting, expense tracking, and administrative reporting
  • Utilize modern digital tools to enhance workflow efficiency and process improvement
  • Handle sensitive information with the highest level of discretion and professionalism
  • Support special projects and strategic initiatives as required

Required Qualifications and Experience

  • Associate Degree or Bachelor’s Degree in Business Administration, Management, or a related field
  • Professional certification in Executive Administration, Secretarial Studies, or Office Management
  • Minimum of three (3) years’ experience in a senior administrative or executive support role
  • Experience supporting senior executives and/or Boards or Committees is an asset

  • Excellent written and verbal communication skills
  • Strong organizational, planning, and multitasking abilities
  • High level of integrity, discretion, and confidentiality
  • Strong attention to detail and analytical thinking
  • Ability to work independently, prioritize effectively, and meet deadlines
  • Proficiency in Microsoft Office / Microsoft 365 and virtual meeting platforms
