About the Role

The Executive Assistant and HR Officer reports directly to the CEO, acting as a key liaison and playing an essential role in maintaining the company’s operations. This role is ideal for a highly-organized team player with excellent communication and supervisory skills, fundamental knowledge of math, and an interest in learning about the industry.


Key Responsibilities:

  • Provide full administrative support to the CEO, including managing the executive calendar, scheduling meetings (with full briefing and preparation), and coordinating travel logistics.
  • Provide direct supervision to the customer service team of 4, ensuring that they are inspired to deliver high standards and be strong representatives of the brands carried by ASEL.
  • Oversee office administration including supervising the work/schedule of the Office Attendant and Driver.
  • Responsible for performing day-to-day human resource management tasks including using the HRIS (ZohoHR) to maintain personnel records and manage workflows.
  • Maintain a consistent line of communication with the CEO, customers and relevant stakeholders.
  • Serve as a liaison between departments and the CEO’s office to ensure that workflows are agile and productive.
  • Prepare professional correspondence and documentation with a high degree of accuracy and discretion.
  • Responsible for Receivables Collections, performing collections by contacting all credit customers, meeting monthly collection targets.
  • Utilize business software tools (Excel, QuickBooks, ACCPAC, ZohoHR) for data tracking, receivables collections, reporting, workflow management and general support to ensure high productivity.
  • Preparation of bank lodgements.
  • Monitor and process procurement and payment transactions, including credit card reconciliations.
  • Coordinate diary invites, meeting logistics, and related internal communications.
  • Assist in maintaining internal office workflows and ensuring accuracy in operational tasks.
  • Responsible for vehicle fleet (licensing, service scheduling, etc).

 

About the Person

  

Qualifications & Experience:

  • Bachelor’s degree in Business Administration, Human Resource Management, Finance or a related field (preferred) and must include CSEC Level I or II passes in English and Mathematics.
  • Minimum 5 years’ experience in a similar role with supervisory experience.
  • Demonstrated experience with administration for HR management.
  • Demonstrated experience with diary management.
  • Strong proficiency in Microsoft Excel (formulas, data entry, reporting).
  • Proficiency in Microsoft Office.
  • Familiarity with QuickBooks, ACCPAC, Zoho or other business systems (preferred).
  • Demonstrated capability in Receivables Collections.
