Position Overview

We are seeking a highly strategic, tech-savvy, and proactive Executive Assistant who thrives in a fast-paced digital environment. This is not a traditional administrative role. This position requires sound judgment, discretion, and the ability to think, communicate, and act at an executive level. The ideal candidate is deeply comfortable with modern productivity and business tools, can manage complex workflows, and takes full ownership of tasks with minimal direction.

Key Responsibilities

Executive & Strategic Support

  • Manage executive inboxes, drafting and responding to complex and sensitive emails with the appropriate tone, voice, and professionalism.
  • Prioritize communications and flag urgent matters requiring executive attention.
  • Manage calendars, travel, and meeting schedules with precision and foresight using Google Calendar and related tools.
  • Proactively anticipate needs, resolve issues, and follow through on action items without being prompted.
  • Prepare internal and external correspondence, reports, presentations, and meeting materials using Google Docs, Google Slides, and Google Sheets.
  • Act as a gatekeeper and trusted liaison between leadership and internal/external stakeholders.

Ownership & Execution

  • Take initiative on assigned and unassigned tasks, identify problems, propose solutions, and execute.
  • Track projects, deadlines, and deliverables in Monday.com to ensure timely completion across teams.
  • Build and maintain Monday.com boards, automations, and dashboards for executive visibility.
  • Face challenges head-on and navigate high-pressure situations with professionalism and confidence.

HR & People Operations Support

  • Support employee onboarding and offboarding workflows using BambooHR.
  • Maintain accurate and up-to-date employee records, org charts, and HR documentation within BambooHR.
  • Assist with HR reporting and people analytics from BambooHR data.
  • Coordinate with leadership on HR policies and procedures.

Technology & Operations

  • Serve as a power user of the company’s tech stack, quickly learning and adopting new tools.
  • Assist in evaluating, implementing, and optimizing digital tools and workflows.
  • Maintain confidential records and files in compliance with company standards.
  • Support internal communication and workflow coordination across departments using digital collaboration tools.
  • Assist with troubleshooting day-to-day tech issues by liaising with vendors or IT as needed.

Qualifications

  • 5+ years of experience as an Executive Assistant, Operations Manager, or similar hybrid role.
  • Proven experience supporting senior or executive-level leadership.
  • Advanced proficiency in Google Workspace (Gmail, Drive, Docs, Sheets, Slides, Calendar), power-user level.
  • Hands-on experience with Monday.com, including building boards, automations, and dashboards.
  • Experience using BambooHR or a comparable HRIS platform for employee management and reporting.
  • Demonstrated comfort adopting and mastering new software tools quickly.
  • Exceptional written communication skills with the ability to adapt tone and voice.
  • Highly organized, detail-oriented, and deadline-driven.
  • Strategic thinker with excellent problem-solving skills.
  • Discreet, trustworthy, and able to handle confidential information.
