Job Title: Executive Assistant

Position Summary

We are seeking a highly organized and detail-oriented Executive Assistant with a strong finance background to support senior leadership. This role goes beyond traditional administrative support, requiring financial acumen, analytical thinking, and the ability to handle confidential financial data. The ideal candidate will act as a strategic partner, ensuring efficient operations while contributing to financial planning and reporting activities.

Key Responsibilities

Executive Support

  1. Manage complex calendars, scheduling meetings, appointments, and travel arrangements
  2. Prepare and edit correspondence, reports, presentations, and internal communications
  3. Serve as a gatekeeper and liaison between executives and internal/external stakeholders
  4. Coordinate and organize meetings, including agendas, minutes, and follow-ups

Financial & Administrative Support

  1. Assist in budgeting, expense tracking, and financial reporting
  2. Prepare financial summaries, dashboards, and presentations for executive review
  3. Monitor and reconcile expense reports, invoices, and reimbursements
  4. Support accounts payable/receivable processes as needed
  5. Assist with financial audits, compliance documentation, and record keeping

Project & Operations Management

  1. Support strategic initiatives and special projects, particularly those involving financial analysis
  2. Track project timelines, deliverables, and key milestones
  3. Conduct research and compile data to support executive decision-making
  4. Improve internal processes and workflows for efficiency

Confidentiality & Compliance

  1. Handle sensitive financial and business information with discretion
  2. Ensure compliance with company policies and financial regulations

Qualifications

Education & Experience

  1. Bachelor’s degree in Finance, Accounting, Business Administration, or related field
  2. 3–5+ years of experience as an Executive Assistant or similar role
  3. Prior experience in finance, accounting, or a related field strongly preferred

Skills & Competencies

  1. Strong understanding of financial principles, budgeting, and reporting
  2. Advanced proficiency in Microsoft Office Suite (especially Excel, PowerPoint, and Outlook)
  3. Excellent organizational, multitasking, and time-management skills
  4. Strong written and verbal communication skills
  5. High level of discretion and professionalism
  6. Ability to analyze data and present insights clearly
  7. Experience with financial software or ERP systems is a plus
