Executive Assistant

A leading real estate investment and property management company is seeking a highly organized and professional Executive Assistant to support its Chief Executive Officer and Senior Leadership Team. This role is integral to ensuring the smooth functioning of executive and governance processes, while providing critical administrative and operational support.

Key Responsibilities

  • Manage executive diaries, schedule meetings, and coordinate related action items.

  • Prepare minutes for board committees, executive meetings, and shareholder meetings.

  • Collate and submit reports for board, committee, and internal meetings.

  • Handle executive-level communication and correspondence with internal departments, investors, board members, and external stakeholders.

  • Coordinate statutory filings, compliance documents, banking transactions, and related business forms.

  • Organize overseas travel arrangements, site visits, and corporate events.

  • Assist in the execution of team-building activities and corporate social responsibility programmes.

  • Support administrative aspects of new real estate projects and assist the Administration Officer where needed.

  • Maintain and improve systems for information flow and governance processes.

Qualifications & Experience

  • Bachelor’s degree in Management, Business Administration, or related field.

  • Minimum of 5 years’ experience as an Executive Assistant.

  • Proven ability to handle confidential information with discretion.

  • Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.

  • Strong organizational skills and attention to detail.

  • Excellent communication and writing abilities.

  • Professional interpersonal skills to engage with executives, board members, and external partners.

  • Ability to manage multiple priorities and deliver under pressure.

  • High level of initiative, self-motivation, and problem-solving ability.
