Reporting to the HR Manager, the Executive Assistant provides technical support to the Executive by performing high level administrative functions including scheduling of appointments; organizing and facilitating communications inside and outside of the office.

Reporting to the HR Manager, the Executive Assistant provides technical support to the Executive by performing high level administrative functions including scheduling of appointments; organizing and facilitating communications inside and outside of the office, proposing and managing projects to enhance the departments operations.

      Responsibilities include but not limited to:

  • Preparing confidential information for the CEO, VP and other executives as necessary.
  • Coordinating, attending meetings, and ensuring proper documenting and distribution of meetings documentation.
  • Completing and reconciling expense statements and making recommendations.
  • Coordinating work schedules with Department Managers to ensure that the CEO & VP, receive all relevant reports.
  • Maintaining and updating calendars; preparing and formatting documents, memos, letters, reports and other forms of correspondence.
  • Organizing and managing files, reference material and proprietary business information.
  • Managing events, activities/conferences, travel schedules, tracking expenses, plans, and organizes, schedules and co-ordinates meetings and other appointments. 

Qualifications, Experience and Profile:

  • A Bachelor’s Degree in Business Administration or relevant field.
  • Five years’ experience in a similar position
  • Excellent oral and written communication skills.
  • Ability to prepare minutes, action plans, collate and circulate documents in a timely manner.
  • Excellent time management skills
  • Proficiency in Microsoft Suite especially Word, Excel and PowerPoint.
  • Successful experience in a position requiring trust and handling confidential material.
  • Highly organized with penchant for meeting deadlines and business promises and obligations.
