Are you a highly organized, detail-oriented professional with a passion for supporting executive leadership? Aventa Jamaica is seeking an experienced Executive Assistant to provide high-level administrative support to our Chief Executive Officer (CEO). This role is essential in ensuring smooth operations, effective communication, and timely execution of key initiatives.

Key Responsibilities:

  • Serve as the primary point of contact between the CEO and internal/external stakeholders.

  • Manage the CEO’s complex calendar, meetings, travel, and events across multiple time zones.

  • Prepare agendas, reports, presentations, and briefing materials for meetings and industry events.

  • Track priority projects, assist with timely execution, and provide strategic follow-ups.

  • Coordinate travel logistics and expense reports for the CEO and leadership team.

  • Support the planning and execution of events, conferences, and leadership initiatives.

  • Maintain registers of contracts and licenses and track key timelines and renewals.

  • Manage office resources, liaise with service providers, and support smooth office operations.

  • Utilize digital tools to enhance productivity and streamline administrative processes.

Required Qualifications & Skills:

  • Bachelor’s degree or equivalent.

  • Minimum 5 years' experience supporting senior executives in a fast-paced environment.

  • Excellent verbal and written communication skills.

  • Strong organizational, time management, and problem-solving abilities.

  • High level of discretion and professionalism in handling confidential information.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Ability to build strong relationships across all levels of the organization.

  • Experience in the pharmaceutical or healthcare industry is an asset.
