Our Client in the Energy Sector in San Fernando is seeking to onboard an Executive Assistant immediately

Salary: TTD $10,000 – $12,000 per month
Contract Duration: One (1) year contract in the first instance
Probationary Period: Six (6) months
Ten (10) days’ vacation leave after one (1) year of continuous employment
Fourteen (14) days’ sick leave after six (6) months of employment
Health and Life Insurance coverage after six (6) months of employment
The Executive Assistant to the CEO provides high-level administrative and operational support by relieving the CEO of routine office responsibilities. The incumbent is responsible for planning, organizing, supervising, and managing the administrative operations of the Office of the CEO.
This role requires the performance of complex office management functions, including reviewing sensitive documentation and supporting the technical aspects of the Department’s work programme. Given the nature of the portfolio, the role requires a strong paralegal background.
Maintain an effective and up-to-date meeting and event schedule for the Office of the CEO, ensuring no conflicts and timely communication to the CEO.
Maintain efficient record-keeping systems, ensuring all information is current and immediately retrievable.
Serve as an effective interface between the CEO’s Office and internal and external stakeholders.
Uphold strict confidentiality in all matters.
Research, compile, and analyse data for CEO reports.
Coordinate the planning and management of meetings, workshops, and conferences.
Prepare complex correspondence, spreadsheets, reports, and other documentation.
Review sensitive and legal documents.
Undertake follow-up activities relating to departmental work programmes and decisions taken at meetings.
Develop and maintain an effective records management system.
Arrange travel and related logistics for departmental staff.
Draft routine correspondence and prepare complex drafts for CEO review.
Assist with preparation of purchase orders and requisitions.
Screen visitors and callers and direct them appropriately.
BSc Degree in Management, Business, Law, or a related field.
Paralegal certification or proven paralegal background (mandatory).
Minimum of five (5) years’ experience in administrative support roles.
At least two (2) years’ experience supporting senior management or C-suite personnel.
Demonstrated experience reviewing legal documents and managing confidential records.
Knowledge of records and information management techniques.
Knowledge of project management principles will be considered an asset.
Strong ability to maintain confidentiality in all business matters.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite and online research platforms.
