Responsible for overseeing and coordinating all maintenance activities across retail and commercial fuel sites to ensure maximum asset uptime, regulatory compliance, safety, and optimal customer experience while minimizing operational disruptions and costs.

Purpose of the Role

Responsible for overseeing and coordinating all maintenance activities across retail and commercial fuel sites to ensure maximum asset uptime, regulatory compliance, safety, and optimal customer experience while minimizing operational disruptions and costs.

Through effective use of the CMMS (LIMBLE), strategic management of spare parts inventory, accurate asset tracking, procurement processing, contractor oversight, and regular performance reporting, the role drives reliability, cost control, and continuous improvement of the entire fuel site network.

Main Responsibiliites

  • · Retail and Commercial Sites Maintenance Coordination:
    • o Coordinating the Preventive Maintenance with the contractors and ensuring the tasks are completed within the due timeline (Fuel systems, generators, Acs, Refrigerators, Surge protectors)
    • o Coordinating the Corrective Maintenance in dispatching the work between the contractors and the in-house Maintenance Technicians as per priority levels and ensuring the work is completed within the due timeline.
    • o Coordinating all the maintenance using LIMBLE:

- To report daily in LIMBLE the requests received from the sites/customers, technicians, RAMs, CAMs byWhatsapp, calls, emails,… with the approved priority level and due date.

- To schedule each of the actions based on the priority and vendors’/technicians’ work load

- To make sure approval has been granted before the contractors start working

- To get the job sheet and close the task as per the timeline

- To optimize the in-house Maintenance Technicians schedule with the Maintenance manager

 

  • · Spare parts stock management:
    • o To manage the spare parts inventory in Limble and do monthly reconciliation (physical vs Limble vs ERP) and generate a report to be approved
    • o To ensure the spare parts stock is maintained as per the defined minimum stock
    • o To propose a procurement strategy (vendor, quantity, frequency,…) to get the parts at best price
    • o To manage and optimize the physical stock in the warehouse and prepare the gate pass

 

  • Assets management: to prepare the assets transfer and disposal forms and keep up to date the asset database per sites (per serial number or QR code)
  • In coordination with the Technical Administrator: preparation of the purchase and payment requests using DocuSign and Dynamics; update of the monthly OPEX tracker and prepare the monthly accruals based on the closed actions.
  • Reporting:
    • o To prepare and share accurate weekly and monthly reports using data taken from LIMBLE’s showing the performance of the maintenance
    • o To share the maintenance cost per main assets (dispensers, pumps, generators, fridges, …)
    • o To share the Maintenance Technicians KPI report
    • o Prepare and participate to the contractors quarterly meeting (share performance feedback, review account statement,…)

Contribute to the Image and Appearance improvement in doing spot audit/report in the retail network

Eduction, Skills & Experience

  • Minimum first degree in Engineering or equivalent technical qualification
  • At least one year’s experience in technical support capacity.
  • Knowledge of Company procedures, authorizations and controls
  • Problem solving skills
  • Computer software skilled (Excel, Word, Dynamix, AutoCAD or other design/drafting software preferred)
  • Knowledge of safety requirements in an industrial environment
  • Good time management skills
  • Flexible and available outside minimum working hours
  • Ability to communicate effectively, verbally and in writing, including effective customer service skills.
  • Ability to manage workload effectively, to plan, organize, and prioritize work and meet deadlines
  • Ability to demonstrate initiative working with minimal supervision
  • Details, Result and Team oriented
