Employee Relations Officer

The Employee Relations Officer is responsible for maintaining positive employee relationships, ensuring compliance with employment laws, and supporting the Human Resources Director in fostering an engaged, motivated, and high-performing team. This individual will serve as a key point of contact for employees, offering guidance on HR policies and procedures, managing payroll processing, and coordinating employee engagement initiatives.

The successful candidate will be empathetic, approachable, objective yet understanding, detail-oriented, and capable of maintaining confidentiality while handling sensitive matters.

 

Key Responsibilities

Employee Engagement

  • Develop and implement employee engagement and welfare programs to promote morale and job satisfaction.

  • Lead the creation and execution of the annual Staff Events Calendar (e.g., birthdays, anniversaries, awards, community outreach).

  • Coordinate the Staff Awards Ceremony, Staff Party, and other team-building events.

  • Prepare and publish the HR Newsletter twice annually (February & September).

  • Maintain notice boards and ensure accurate and updated communication materials.

  • Conduct and analyze exit interviews, reporting trends and recommendations to HR leadership.

Employee Standards and Relations

  • Support employees and supervisors in addressing workplace concerns, ensuring adherence to company policies and standards.

  • Enforce compliance with the Employee Handbook, particularly regarding grooming and professional conduct.

  • Assist with the performance management process and monitor probationary progress for new hires.

Payroll

  • Process weekly and monthly payroll accurately and timely.

  • Verify and submit leave applications and departmental timesheets for approval.

  • Handle payroll adjustments, advances, and loan requests as authorized.

  • Monitor and maintain data within the biometric time clock system.

  • Assist employees with banking setup and payroll-related queries.

Trainee Programme

  • Coordinate internship and trainee programs with schools and training institutions.

  • Maintain trainee documentation, monitor attendance, and ensure stipend payments (if applicable).

  • Facilitate completion of evaluations and issue certificates to participants.

Facilities & Staff Welfare

  • Monitor the maintenance and cleanliness of employee facilities, including the staff cafeteria.

  • Liaise with the Maintenance Department and concessionaire to ensure a safe, healthy, and well-maintained work environment.

  • Promote employee wellness and safety initiatives.

Administrative Support

  • Maintain up-to-date employee records, contracts, and job descriptions.

  • Prepare staff lunch lists, offer letters, and HR correspondence as required.

  • Support recruitment and onboarding activities in collaboration with the HR Director.


Qualifications & Requirements

  • Bachelor’s Degree in Human Resource Management or a related field.

  • Minimum 6 years’ experience in Human Resources, preferably in employee relations or engagement.

  • Strong knowledge of Jamaican labour legislation.

  • Excellent computer skills (Microsoft Word, Excel, and other HR software).

  • Exceptional interpersonal, communication, and customer service skills.

  • Highly organized with strong time management abilities.

  • Ability to maintain confidentiality and exercise sound judgment.

  • Demonstrated ability to work independently and within a team environment.

  • Flexible, adaptable, and able to work effectively in a fast-paced setting.

  • Creative planner with proven experience coordinating staff events and morale-building activities.
