The incumbent will provide support in managing the efficient movement of goods and information flow from the point of Purchasing to Distribution to the End Users. He/She must ensure that their role contributes to the maximization of efficiency & cost effectiveness of the Procurement Department.

REPORTING RELATIONSHIP                 

This position reports directly to the Procurement Manager, PHL.

 

JOB SUMMARY                                        

This position will be primarily responsible for the procurement of goods and services while ensuring that corporate and ethical policies are adhered to. The incumbent will provide support in managing the efficient movement of goods and information flow from the point of Purchasing to Distribution to the End Users i.e. Warehouse, Store Operations or Business Development. He/She must ensure that their role contributes to the maximization of efficiency and cost effectiveness of the Procurement Department.

 

DUTIES AND RESPONSIBILITIES 

  • Liaises with relevant stakeholders including review of documents for the shipping, handling and clearance of overseas purchases to ensure timeliness of receipt of goods and cost savings including a zero demurrage tolerance level.
  • Managing Communication between Suppliers, Freight Forwarders and Brokers to ensure smooth and efficient flow of communication via Virtual Meetings, Reports.
  • Support with Export Requirements across all brands, including review of documents, warehouse handling and clearance of overseas purchases.
  • Plans and organizes the logistics associated with prompt delivery of materials and/or services to the Company, ensures that purchases are expedited, as required.
  • Review and coordinate the approval of freight and brokerage invoices to ensure accuracy of alignment to agreed and approved freight rates.
  • Management and issuance of Logistics reports including but not limited to: Demurrage, Broker performance, Time to unstuff, Time to Store, OTIF, Stock Coverage Management etc.
  • Liaises with Accounts Payables for purposes of resolving problems and ensuring smooth information flow amongst sections.
  • Provides follow-up action on all outstanding purchase orders and expedites where necessary.
  • Develops and maintains reports on logistics supplier data and market information on freight rates and related logistics costs.
  • Demonstrates the ability to coordinate the transportation of goods from one location to another.
  • Schedule fleet maintenance and repairs (trucks, pickups, sedans, motorcycles)
  • Work with external vendors, including mechanics
  • Monitor Fleet Card/Fuel Card requests and usage.
  • Make sure keys, Fleet card are returned as scheduled.
  • Maintain a database of fleet and motorcycle information
  • Support with vehicle purchases, sales and issuance of spares.
  • Reports and Weekly Fleet Efficiency KPI’s
  • Ensures compliance with the Company’s standard purchasing and fleet procedures.
  • Performs other related duties as may be required by the job function.

QUALIFICATIONS AND EXPERIENCE REQUIRED

  • Certificate or Diploma in Purchasing from the Chartered Institute of Purchasing and Supply or other appropriate qualifications.
  • Minimum of 3 years’ experience in Expediting, Logistics, Shipping, Customs or Purchasing
  • Proficiency in Microsoft Excel, Word and PowerPoint
  • Certification in CIPS, ISM or equivalent are assets
  • Must be proficient in Microsoft Office Suite
  • Excellent written and oral communication skills
  • Experience in a fast paced environment
  • Customs Clerk License is an asset
