The incumbent will provide professional administrative management support services to the Executive Office.

EXECUTIVE ASSISTANT

The incumbent will provide professional administrative management support services to the Executive Office by handling correspondence, telephone calls, receiving visitors, scheduling appointments, arrange travelling, attend meeting and prepare reports etc., maintain high level of confidentiality, maintaining and nurturing effective communication throughout the organization.

QUALIFICATIONS AND EXPERIENCE

  • A First Degree in Business Administration, Management Studies or Public Administration;
  • Secretarial Diploma from a recognize Institution OR Professional Secretarial Certification (CPS);
  • Paralegal training and experience
  • A minimum of five (5) years' experience in a similar capacity, preferably in a Customer Centric Organization.  A minimum of three (3) years exposure to Customer Relationship Service Organization Management.

REQUIRED SKILLS AND SPECIALISED TECHNIQUES

  • Ability to manage competing priorities in a face-paced environment
  • High degree of professionalism and discretion.
  • Computer literacy (Microsoft Word, Microsoft Project, Power Point, Access Publisher, and Excel).
  • Well-developed organization, administrative, planning and time management skills.
  • Excellent interpersonal and human relations skills and a high degree of self-confidence.
  • The ability to inspire confidence and respect to others.
  • Ability to work well under pressure and meet tight deadlines.
  • Sound judgment and maturity in in performing day-to-day functions.
  • A high level of integrity and the ability to work well with persons at all levels within and external to the organization.
  • Competence in recording minutes and reproducing reports.
  • Knowledge of documents retention and storage both physical and electronic policies.
