The Executive Assistant is responsible for providing high-level administrative support to the CEO and indirectly to the Laboratory Director.

 

SCOPE OF POSITION

The Executive Assistant at  is responsible for providing high-level administrative support to the CEO and indirectly to the Laboratory Director. This role involves managing the day-to-day operations of the Executive Office, coordinating schedules, drafting correspondence, and supporting marketing efforts, all while maintaining confidentiality and professionalism.

 

MAJOR DUTIES AND RESPONSIBILITIES:

Administrative Support:

  • Organize and manage the CEO's calendar, including scheduling meetings, coordinating appointments, and arranging travel plans.
  • Prepare and draft correspondence, reports, presentations, and other documents on behalf of the CEO and Laboratory Director.
  • Maintain and update files, records, and databases, ensuring accuracy and confidentiality.
  • Coordinates and prepares correspondence relating to the Board of Directors.

 

Communication Management:

  • Act as the first point of contact for the CEO, screening and directing calls, emails, and visitors.
  • Coordinate communication between the Executive Office and other departments, ensuring clarity and consistency.

 

Meeting Coordination:

  • Arrange and coordinate internal and external meetings, including preparing agendas, taking minutes, and following up on action items.
  • Assist in the preparation of materials for presentations and reports for executive meetings.

 

Marketing and Promotional Support:

  • Prepare marketing flyers and promotional materials to support the laboratory’s initiatives and events.
  • Collaborate with the social media and advertising business partners to ensure cohesive messaging and branding.

 

Project Coordination:

  • Monitor and track timelines for key projects and initiatives, providing regular updates to the CEO and Laboratory Director.
  • Assist in coordinating special projects as assigned by the CEO or Laboratory Director.

Confidentiality and Discretion:

  • Handle sensitive information with the utmost confidentiality and discretion.
  • Ensure compliance with all company policies, procedures, and ethical standards.
