JOB DESCRIPTION: The Equipment Maintenance Coordinator will support the activities of the Equipment Services Department by planning, scheduling and tracking preventative maintenance tasks. He/she will provide administrative support to supervisors and clerical staff and assist with procurement of parts, tooling and supplies. The Equipment Maintenance Coordinator will generate routine and timely reports on departmental maintenance metrics, logistics and equipment rental performance and costs.

DIRECT REPORT: Equipment Service Manager
ESSENTIAL FUNCTIONS:
These include but are not limited to:
- Preparing Preventative Maintenance Schedules and Checklists for all equipment;
- Tracking equipment usage by collecting hour meter data from all work sites;
- Logging maintenance, fuel use and repair data for equipment;
- Generating reports with maintenance KPIs and cost for each unit;
- Monthly inspections of all mobile equipment and small tools on project sites;
- Monitor and ensure compliance with Motor Vehicle Regulatory Requirements such as Registration, Fitness, Carriers License and Special Permits;
- Ensuring road worthiness of vehicles operating out of WIHCON Head Office, Harbour View;
- Maintaining a Register of Small Tools and Equipment to include location and repair information;
- Maintaining equipment records in the Sage Timberline Equipment Management Database;
- Generating routine reports with fuel and lubricant consumption for each unit;
- Generating stock levels and reorder points for all critical filters and other PM parts;
- Assist Admin Clerk in identifying and procuring parts and spares and calling suppliers to obtain quotations;
- General administrative support such as preparing purchase requisitions, receiving parts and supplies and maintaining equipment manual and electronic files;
- Tracking core returns for Caterpillar remanufactured parts;
- Train mechanics and technicians in Maintenance record keeping;
- Any other related duties assigned.

EDUCATION & QUALIFICATIONS:
- JAGAS or equivalent formal training and certification in Motor Vehicle Systems;
- At least 12 months working experience in a construction or vehicle maintenance and repair environment;
- Proficient with Microsoft Office Suite (Excel, Word, PowerPoint);
- Possess excellent analytical and problem solving skills;
- Strong time management and multi-tasking skills;
- Prior experience with maintenance software and the possession of a General Driver’s License would be an asset;
- Strong work ethics, organized, excellent leadership abilities combined with excellent written and oral communication;
