Responsible for receiving and transmitting information to coordinate the operations of other personnel and vehicles that perform the dispatching of products.

Objective:

 

The Dispatcher is responsible for receiving and transmitting information to coordinate the operations of other personnel and vehicles that perform the dispatching of products.

 

 

Main Responsibilities include:

 

Scheduling and Coordination

  • Dispatchers coordinate the delivery schedules of materials, ensuring that shipments are made on time and according to customer requirements. They manage and optimize delivery routes and timings.

 

Monitoring and Tracking

  • Dispatchers track the location and status of delivery trucks and shipments in real-time.

 

Communication

  • They serve as a liaison between drivers, customers, and other departments. Effective communication is essential for resolving issues, addressing customer inquiries, and keeping all parties informed about delivery status.

 

Problem solving

  • They handle any issues or disruptions that occur during the delivery process, such as vehicle breakdowns, traffic delays, coordinate emergency or priority deliveries, quick problem-solving is essential to minimize disruptions.

 

Documentation and reporting

  • Dispatchers are responsible for maintaining accurate records of deliveries, including times, routes, and any incidents that occur. They also generate reports as needed for management.
  • Record daily stocks levels with operation at the start of every shift.
  • Flag potential stock shortages base on customer demand, monitor the base of usage.

 

Compliance

  • They ensure that all operations comply with company policies, industry regulations, and safety standards. This includes verifying that all required documentation is in order and that drivers adhere to legal requirements.

 

Resource Management

  • They manage the allocation of resources, such as trucks and drivers, to ensure efficient and effective delivery operations.

 

Customer Service

  • Providing excellent customer service is a key aspect of the dispatcher’s role, addressing any customer concerns or special requests related to deliveries.

 

Others

  • Responds in a timely, professional and comprehensive manner to queries by internal and external parties.
  • Performs any other job-related functions as assigned by the Business Manager or Group Procurement Manager.

 

 

Required Education / Expertise / Skills:

 

  • 5 subjects at CXC inclusive of Math's and English or technical studies in Supply Chain Management or any related field
  • Computer literate (proficiency in Excel and Microsoft)
  • Strong verbal and written communication
  • Strong organizational abilities
  • Good analytical thinking and reporting skills
  • Flexibility and adaptability
  • Strong time management and prioritization skills

 

 

Required Experience:

 

  • Minimum working experience of 1 year in industrial environment.
  • Knowledge of SAP or similar tools.
  • Experience managing high-volume dispatch operations.
  • Ability to handle multiple deliveries, drivers, and customer requests simultaneously in a fast-paced environment without compromising accuracy or safety.
