JOB SUMMARY:
Supports the Financial Controller with daily accounting and financial operations, ensuring compliance with finance and accounting policies, standards and regulations, also, statutory and franchise compliance including assistance with the month end close process, budget preparation, financial reporting and leadership of the team.
EDUCATIONAL REQUIREMENTS:
A. SPECIFIC KNOWLEDGE REQUIRED TO START:
• Understanding of accounting standards and practices.
• Sound knowledge of EDP systems and their applications.
• Knowledge in designing and implementing Financial Management Control Systems.
• Proficiency in the management of the Finance & Accounting Department of a large organization.
• Familiarity with the application of Contract Law.
B. QUALIFICATIONS AND EXPERIENCE:
• Post Graduate studies in Accounting and Management or equivalent.
PLUS
• At least five (5) years senior management experience in general financial accounting.
• Have demonstrated ability for organizing people for effective production of pertinent reports on a regular basis.

DUTIES AND RESPONSIBILITIES:
Management/ Administrative responsibilities:
- Ensures that safety and health standards are maintained and recommended safety measures to be pursued.
- Act as deputy in the absence of the Financial Controller by providing high level support and taking on a leadership role as needed including representing the organization at meetings, conferences and other functions as directed.
- Develops strong working relationships with management team to help their department’s objectives; participates in key departmental meetings as necessary.
- Reviews and signs Salary Deduction and NHT Confirmation requests
- Carries out administrative functions for the departmental staff such as leave approval and delegation of assignments.
- Approves bank transactions (wires and electronic funds transfers)
- Keeps abreast of current and emerging trends and best practices and utilize them for continuous improvement of the Division’s strategy,
program development and implementation.
Technical / Professional responsibilities:
- Assists with the day to day management of accounting functions, including accounts payables, accounts receivables, payroll and balance sheet accounts reconciliation.
- Assists with the production, review and submission of periodic financial reports and statements advising on critical areas of the organization’s performance.
- Prepares the executive payroll and related statements for review and approval by the Financial Controller.
- Assists the preparation of the operational plan and budget for the units within the division including the analysis of actual results to identify and report on budget deviations and compliance issues.
- Prepares the cost of sales budget and other budget schedules in support of the annual budget planning exercise.
- Monitors the income and expenditure variance analysis and prepares variance reports with detailed explanation for significant variances.
- Assists with the maintenance of budget review and control systems and procedures to guide Departmental Heads in monitoring performance.
- Assist with monthly financial analysis and quarterly budget revisions.
- Develop, maintain and update product mix cost build-up by the 10thday of each month for the preceding month.
- Preparation of price increase analysis/report for existing products on a timely basis as required.
- Complete and accurate generation of pricing of new products and submit to the Financial Controller within two (2) days of request.
- Support the Financial Controller in his / her dealings with auditors (both internal and external) as well as other stakeholders.
- Produce weekly QSRG bank balances report.
- Produce monthly QSRG bank reconciliations status report.
- Liaise with Warehouse Manager and Store Managers to coordinate and prepare the Physical/Cycle count inventory for all locations.
- To ensure compliance with applicable franchise agreement, regulations, accounting standards, pension administration, tax laws and tax reporting requirements to avoid additional tax liability.
- Identifies and recommends improvements to accounting processes, controls, and systems to enhance efficiency and accuracy.
- Performs any other assignment as required by the Financial Controller.
Human Resource responsibilities:
- Assist with management of the welfare and development of direct reports through preparation of performance appraisals, coaching and training and development programs and maintaining performance standards.
- Ensure that staff is aware of and adhere to the organization’s policies, procedures and regulations.
- Maintain and disseminate ongoing knowledge of developments in the accounting field and plan strategies to improve Financial Management in the organization.
- Sit on interview panels to recruit accounting staff at all levels.
- Recommends transfer, promotions and termination in accordance with established human resource policies and procedures.
- Ensure staff is effectively utilized to achieve departmental objectives and enhance their professional and/or personal development.
- Ensure the welfare and developmental needs of employees are clearly identified and addressed to ensure the maintenance of a cadre of highly motivated and productive employees.
- Assists with the development and implementation of initiatives for enhancing communication and employee’s morale in the Accounts department.
