DIGITAL IMPLEMENTATION OFFICER

 

 JOB SUMMARY:

This position is responsible for supporting the implementation, deployment, and optimization of digital systems and artificial intelligence enabled solutions across the university. The role focuses on translating approved digital and AI initiatives into operational systems that support academic, administrative, and research activities. The incumbent will work closely with the IS&T team, functional units, and external vendors to ensure systems are implemented securely, efficiently, and in alignment with institutional policies and governance frameworks.

RESPONSIBILITIES: (including but not limited to)

1. Digital Systems Implementation:

  • Support the implementation, configuration, and rollout of institutional digital platforms including administrative systems, learning technologies, document management systems, workflow automation tools, and cloud-based services.
  • Coordinate implementation planning by reviewing functional requirements, timelines, dependencies, and vendor documentation.
  • Configure system components such as user roles, permissions, workflows, templates, and forms in accordance with approved specifications.
  • Coordinate with internal IS&T team and external vendors during deployment, testing, go-live, and stabilization phases.
  • Support user acceptance testing by preparing test cases, validating outcomes, and documenting issues.
  • Assist with data migration, validation, and post-implementation verification activities.
  • Provide continuous implementation support and assist with complex issues where required.

2. Artificial Intelligence Systems Support:

  • Support the implementation and operation of approved AI-enabled solutions such as chatbots, intelligent document processing tools, analytics platforms, and automation systems.
  • Configuring AI tool parameters, prompts, workflows, access controls, and usage limits under supervision.
  • Participate in testing AI outputs to ensure accuracy, reliability, and alignment with approved institutional use cases.
  • Support data preparation and validation activities related to AI systems while ensuring compliance with data protection and privacy requirements (Supporting the Data Protection Officer).
  • Assist in monitoring AI systems usage, performance and report issues, limitations, or risks.
  • Support the application of responsible AI principles, including transparency, data privacy, bias awareness, and acceptable use.

3. Training, Documentation, and User Support:

  • Assist in preparing user guides, standard operating procedures, AI usage guidelines, and training materials.
  • Support system demonstrations, onboarding sessions, and awareness initiatives for staff and stakeholders.
  • Respond to user queries related to implemented digital and AI systems and provide first-line support.
  • Maintain accurate implementation documentation, configuration records, and handover notes for operational teams.

4. General Tasks:

  • Troubleshoot and resolve operational issues related to implemented digital and AI systems.
  • Maintain documentation of system configurations, workflows, and implementation decisions for future reference and audits.
  • Any other duties consistent with the nature, level, and grade of the post as may be required.

REQUIREMENTS AND SKILLS

  • At least 2 years’ experience in system implementation, application support, or digital transformation initiatives.
  • Working knowledge of enterprise digital systems and cloud-based platforms. Expert understanding of artificial intelligence concepts such as automation, chatbots, analytics, and AI-assisted tools.
  • Familiarity with data protection, access control, and information security principles.
  • Ability to follow implementation plans, technical documentation, and standard operating procedures. Basic troubleshooting and documentation skills.

KEY Qualifications

  • Bachelor’s degree in information technology, Information Systems, Computer Science, Data Science, or a related field (or equivalent work experience).
  • Certifications in cloud platforms or digital systems implementation.
  • Certificate in AI Systems or automation-related certifications.
  • IT service management or project support certifications
