Customer Service Representative

Handles customer calls, quotes, orders, invoicing, and records; ensures accuracy, follows up on orders, coordinates deliveries, resolves issues, supports sales, manages data, assists stock counts, and executes purchases.

Position:                    Customer Service Representative

Supervises:               None

Reports to:                 Customer Service Executive

The Principal Functions of the Position shall be to:

1. Taking phone calls and responding to Customers’ and Sales Representatives’ request for Quotations.
2. Entering of Purchase Orders into QuickBooks or any other programs that the Company may use from time to time.
3. Daily generating of invoices based on Purchase Orders or called-in /emailed orders.
4. Ensuring that all the information on the invoices are up to date and accurate.
5. 5.    Ensuring that all invoices being printed have the required Purchase Orders/ Emailed Approvals from Customers or Sales Representatives.
6.  Following up on Purchase Orders and quotations that have been issued.
7. Generating delivery notes with proper supporting approved documentation.
8. Invoicing Delivery Notes in a timely manner.
9. Assist sales representatives with any difficulties that they may encounter with their orders on delivery.
10. Generate and maintain accurate and up to date customer contact information in QuickBooks or any other programs that are being used in the workplace.
11. Communicate with customers via phone/email and assist in the resolution of Customer complaints.
12. Co-ordinating with the Warehouse manager for efficient delivery of goods to Customers.
13. To assist with the end of year stock count.
14. Execute all purchases needed for Company Operations.
15. Any other functions that are related to the duties stated above.
