The Associate will provide essential support to the Team by managing administrative, financial, and customer service tasks. This role requires organizational skills, and the ability to interact professionally with customers, suppliers, and internal staff.

 

Core Functions / Duties & Responsibilities 

 

Customer Service &  Communication

1.     Answer all incoming phone calls in a professional manner.

2.      Assist walk-in customers by sharing prices, recommending products, preparing  estimates/ invoices, accepting payment and communicating orders with production forpickup or delivery.

3.    Create new customer accounts and maintain accurate customer information forms.

4.     Provide frequent reminders to credit customers about upcoming balances.

5.     Make follow-up calls to customers with outstanding balances.

6.     Prepare and issue customer estimates.

7.    Communicate with customers about their deliveries.

8 .  Prepare and issue credit notes when necessary.

 

 Sales &; Accounts Administration

1.  Prepare and issue invoices for daily deliveries.

2.  Record daily sales and collections.

3. Maintain accurate records of invoices, goods returned forms, and credit notes.

4.  Update and manage the customer database.

5.  Record and monitor petty cash transactions daily.

  Logistics &; Operations

1.  Update the delivery schedule daily.

2. Maintain and update the driver log daily.

3. Support drivers and logistics team with documentation, cash for toll and other  necessary payments daily.

  Office Management

1.  Order and manage office supplies, stationery, and toiletries.

2. Maintain organized filing systems for all administrative records.

Educational Requirements Qualifications & Experience

●      Qualifications & Skills:

●      Minimum of an Associate’s degree or equivalent experience in Business

●      Administration, Accounting, or a related field.

●      2+ years’ experience in an administrative, accounting, or customer service role (preferably in sales or distribution).

●      Proficiency in Microsoft Office Suite and Google Workspace (Sheets, Docs, Drive).

●     Strong organizational and multitasking skills.

●      Excellent communication skills—both written and verbal.

●      Ability to work independently while supporting a team.

●      Detail-oriented with strong record-keeping skills.Tertiary level education would be an asset.

●      Completed secondary education possessing five (5) or more CSEC subjects including Mathematics and English 

●      Three (3) – five (5) years’ experience in customer service, sales and marketing

●      Certification/training in customer service would be an asset  

●      Strong competence with MS Office Suite of software (Excel, PowerPoint, MS Project, Word, Outlook)
