The Compliance Records Assistant will support the Legal & Compliance Unit by preparing, scanning, indexing, and securely storing compliance documents, including KYC records, in readiness for digital storage, CRM migration, and compliance with the Data Protection Act.

Compliance Records Assistant

Overview:

The Compliance Records Assistant will support the Legal & Compliance Unit in preparing and organizing documentation for digital storage and future migration to a new Client Relationship Management (CRM) system. The individual will be responsible for scanning, indexing, and securely storing compliance-related documents, including Know Your Customer (KYC) records. This initiative forms part of the business’s readiness for the implementation of the Data Protection Act.

This role requires strong organizational skills, excellent communication, and a proactive approach to providing high-quality administrative support.

Key Responsibilities:

  • Accurately scan and index physical compliance documents, including KYC files, ensuring full integrity and traceability.
  • Name and organize scanned documents using the approved file naming conventions and indexing structure.
  • Securely store documents in controlled-access folders, proactively managing permissions to protect confidential information.
  • Review and audit previously scanned KYC documents, correcting inconsistencies and ensuring compliance standards are met.
  • Identify, flag, and remediate incomplete or poor-quality scans to maintain the highest accuracy in records.
  • Maintain comprehensive indexing logs and trackers to monitor progress and guarantee completeness of records.
  • Validate the accuracy and consistency of captured information, ensuring alignment with regulatory and internal standards.
  • Handle all documents with strict confidentiality, adhering to data protection requirements and secure records management best practices.
  • Prepare and structure indexed documents for seamless integration with the new CRM system, supporting smooth migration.
  • Collaborate with Compliance and IT teams to optimize document management workflows and ensure regulatory compliance.

Relevant Skills, Knowledge and Experience:

  • Currently pursuing or has completed a degree in Law, Management Studies, or a related Business degree.
  • Previous experience in a clerical, records management, or administrative support role is an asset.
  • Strong attention to detail and accuracy in handling documents.
  • Good organizational skills and the ability to follow structured processes.
  • Proficiency with Microsoft Office (especially Excel and Word) and familiarity with shared drive environments.
  • Ability to handle confidential information with integrity and professionalism.
  • Demonstrates sound judgment, analytical thinking, and adapts well to changing environments without compromising outcomes.
