Commercial Officer - EMEAA

Main Purpose of Job:

The Commercial Officer will support the Commercial Segment in the EMEAA region by managing distributor relationships, ensuring compliance with contractual and pricing obligations, and driving operational excellence across multiple markets. Act as a key link between distributors, internal stakeholders (Sales, Finance, Legal, Supply Chain, Logistics, QA), and regional management to ensure smooth execution of commercial processes, timely delivery, and alignment with market requirements. 

Key Accountabilities and Responsibilities:

Pricing & Commercial Documentation 

  • Draft, issue, and manage distributor pricing letters in line with approved strategy, pricing, and budgets.
  • Enter and maintain distributor pricing in SAP by market; ensure timely uploads and distributor notifications via signed letters.
  • Support NDA execution and broader contract management (renewals, compliance checks, due diligence). 
  • Maintain an accurate, auditable repository of pricing agreements, contracts, communications, KPIs, and regulatory approvals. 

Distributor Management & Customer Satisfaction 

  • Serve as daily point of contact for distributors, CSRs, supply planning, and logistics to resolve queries and operational needs.
  • Support distributor onboarding, compliance checks, and periodic performance reviews; compile scorecards and insights for management. 
  • Liaise with sales agents to provide marketing materials, branding guidelines, and other sales support from Marketing. 
  • Coordinate stock management and OTIF delivery by working with internal/external parties to ensure orders are delivered on time and in full.
  • Manage customer product complaints end-to-end (communications, documentation, credit/debit notes, claim closure).
  • Conduct an annual customer service survey and provide a formal report on service levels. 
  • Provide timely turnaround on product sample requests, pricing updates, A&P payment processing, credit & debit memos, NDAs, distribution contracts, due diligence requests, and SAP actions (pricing, PRs, POs, etc.). 

Order, Forecast & Sales Support 

  • Process purchase orders, forecasts, and demand plans; align with supply and production needs and highlight urgent orders. 
  • Consolidate orders, track shipments, confirm fulfillment with distributors and internal teams; resolve bottlenecks with Logistics. 
  • Ensure distributors receive required documentation (samples, compliance letters, certificates, invoices).
  • Coordinate with Sales and Finance to support order visibility and accurate revenue recognition. 

Financial Controls: AP/AR, A&P & Cost Centers 

  • Review and process Advertising & Promotional (A&P) expenses and other AP claims for accuracy and policy compliance; track budgets vs. approvals and coordinate settlements with Finance.
  • Manage and monitor cost centers (marketing A&P and selling expenses) within approved budgets. 
  • Prepare monthly receivables summaries and an aged debtors “good vs. bad” report to inform credit decisions and future facilities. 

Commercial Performance, Reporting & Analytics 

  • Aid in achieving, monitoring, and reporting commercial targets (sales revenue, forecasts, volume/revenue variances) in line with the annual budget.
  • Compile monthly depletion reports for the Top 20 markets and provide commentary on risks/opportunities. 
  • Produce distributor performance scorecards and regular KPI reporting to prompt recovery plans with sales agents and distributors. 

Projects, Innovation & Continuous Improvement 

  • Assist with commercial projects (e.g., innovation/NPD, rework, new market entries) that drive growth or protect existing business. 
  • Track and report distributor performance vs. volume-based KPIs; recommend corrective actions.
  • Propose process improvements to increase customer satisfaction and internal efficiency. 

Compliance & Governance 

  • Ensure 100% adherence to internal policies and external regulatory requirements across markets. 
  • Monitor receivables and order-to-cash activities for full compliance with company policies and procedures.
  • Compile and submit mandatory commercial/regulatory documentation; maintain an up-to-date approvals repository.
  • Provide a bi-annual report (with supporting correspondence) on distributors in breach of contract (e.g., forecasting, sales targets) and communicate regulatory changes bi-annually to stakeholders. 

Meetings, Communication & Administration 

  • Attend all commercial meetings (e.g., Quarterly Business Reviews, Sales & Operations, internal cross-functional forums); take minutes, track actions, and ensure follow-ups.
  •  Keep stakeholders regularly updated on pending commercial matters with clear, professional communication and status tracking. 

 

Required Qualifications:

  • Bachelor’s degree in business administration, Commerce, Supply Chain, or related field. 
  • 2–4 years’ experience in commercial operations, sales support, or distributor management (FMCG/consumer goods/B2B distribution preferred). 
  • Exposure to contract management and AP claims processing is an advantage. 
  • Familiarity with ERP systems (e.g., SAP, Power Bi) and proficiency in MS Office (Excel, PowerPoint, Word). 
  • Experience working across multiple markets or regions is a plus. 

Required knowledge/skills/abilities:

  • Accurately process and verify high volumes of data and documents. 
  • Strong written and verbal skills to liaise effectively with distributors and internal teams. 
  • Understanding of pricing, contract terms, and distributor business models. 
  • Identify and resolve issues across claims, orders, shipments, supply chain, and logistics. 
  • Strong cross-functional coordination and teamwork. 
  • Manage multiple priorities and deadlines in a fast-paced environment. 
  • Anticipate hurdles and drive solutions with a continuous-improvement mindset. 
  • Keep all pending matters current; communicate status regularly and clearly. 
  • Pursue training and tools needed to meet business objectives.
