Position: Clinical Management Administrative Assistant (Ward Clerk)

  1. Location: Omega Medical Hospital, Negril, Westmoreland, Jamaica.

    The Clinical Management Administrative Assistant will communicate effectively and network with doctors, nurses and patients to manage the operations and flow of traffic on the ward. The employee will provide administrative/secretarial support to the Chief Medical Officer, Clinical Director, Medical Administrator, Matron/Nursing Manager, Doctors and Nurses for the Omega Medical Hospital.



    Key Responsibilities includes but not limited to:
  1. Scheduling appointments with patients, doctors and other health care providers
  2. Scheduling meetings as per directions from the CMO, and the Head of Medical Departments.
  3. Communicate effectively and network with doctors, nurses and patients to manage the flow of traffic on the ward.
  4. Assist with the preparation for patients who will be going into surgery by checking supplies and sending reminders to operating team and following up to ensure readiness.
  5. Prepare the Medical Release Form for signing.
  6. Prepare the discharge summaries for all patients seen in the hospital (Accident and Emergencies, Out Patient and Ward)
  7. Make contact with health staff as directed by the CMO or Head of Nursing or designate
  8. Assist in maintaining patient database on the information system (HIMS)
  9. Guided by instructions, provide assistance in preparing reports on patient care, update medical records with test results and other information on the patient.
  10. Ensure all doctors and nurses complete the medical records.
  11. Organize, transcribe and prepare the medical reports, lab reports and patient information for easy access by the doctors and nurses
  12. Provide directions for visiting protocols to visitors on the ward
  13. Prepare relevant forms needed for maintaining the policies and protocols on the wards
  14. Monitor calls made to the ward and dispatch as necessary
  15. Ensure compliance to health & safety policies and procedures, by all people on the ward

 

 Qualifications and Requirements:

  1. Associate Degree in Business Administration/ Office Administration/Medical Administration Assisting
  2. Training for Certified Patient Account Manager (CPAM) or related Certification in Health Care Administration
  3. Strong Computer Skills and working knowledge of Microsoft Office
  4. Ability to work in a fast-paced environment, with a commitment to delivering high-quality care.
