To provide high-level administrative support by managing real estate and valuation documents, preparing business reports, handling information requests; and assignment and monitoring of leads database. General support to all business lines of the SBU.

MINIMUM EDUCATION REQUIREMENTS

  • Bachelor’s Degree in Business Administration or equivalent from a recognized tertiary institution

MINUMUM EXPERIENCE REQUIREMENTS

  • Three (3) years related experience at a senior level.

PREFERRED EXPERIENCE REQUIREMENTS

  • A working knowledge of mortgage process and Real Estate is an advantage

Functional/ Technical Skills 

  • Excellent communication skills, both oral and written
  • Ability to work independently, motivated
  • Organized and very detail-oriented
  • Good time management skills with the ability to multi-task in a fast-paced environment.
  • Ability to manage a system of internal processes

  • Computer literate with the ability to create spreadsheets, word documents and statistical packages

  • Knowledge of the Proceeds of Crime Act (POCA)
  • Utilize a digital approach to problem solving
Job Responsibilities
  • Performs administrative and secretarial supportto the Sales & Valuation Departments.
  • Provides administrative supportfor Real Estate Agents & Valuers.
  • Procures services, supplies and equipment to ensure the efficient runningof the office.
  • Manage, assign and track salesleads submitted through the Company’s website, COES database and general referrals.
  • Manages live websitechat and officeBusiness WhatsApp channels.
  • Assist with preparing weekly & monthly reports for sales department.
  • Assist with updating reports for GroupSales Unit
  • Review listings and sales documents for Real Estate Sales and Valuation requests.
  • Maintain contracts, licenses, membership and files for Real Estate Agents
  • Prepare sales reports for commission payments for Agents, Co-Broking Agencies & clients
  • Generating invoices for Real EstateClients
  • Monitor & maintain sales pipeline by communicating with Attorneys, Mortgage institutions, Co-Brokes & Clients
  • Manage Real Estate email mailbox
  • Manage keys and ley log for listed properties
  • Assist with planning and cordination of team for attendance of industry events
  • Liaise with Group ICT to assist Agents with User credentials and log-in information
  • Attend Real Estate sales events and other Business Development activities for both VM Group and non VM Group events.
  • Any other duty as assigned.
