The Billings Sales Clerk is responsible for sending all customer orders to be invoiced and to liaise, as needed, with Warehouse and other CGA departments to ensure excellent customer service in alignment with the attainment of company sales targets.

DUTIES AND RESPONSIBILITIES:

Invoicing & Billing

  • Prepare and issue accurate customer invoices based on approved sales orders, delivery notes, or service confirmations.
  • Verify pricing, quantities, and customer details before issuing invoices.
  • Ensure invoices are processed in the accounting/ERP system in a timely manner.
  • Maintain organized billing records and documentation.

Accounts Receivable Monitoring

  • Maintain and update customer accounts within the Accounts Receivable ledger.
  • Monitor AR aging reports and identify overdue accounts.
  • Track outstanding invoices and ensure records are accurate.

Payment Follow-Up & Collections

  • Conduct regular follow-ups with customers regarding outstanding balances and overdue invoices.
  • Send payment reminders and statements of account to customers.
  • Liaise with the sales team regarding customer payment status and credit concerns.

Additional

  • To assist with the preparation, submission and proper filing of credit notes for customers.
  • To prepare, as needed, any memorandums or letters to customers.
  • To clearly communicate and report in writing on any non-conformances relating to sales to the Chief Marketing Officer and other relevant internal stakeholders.
  • To support in the entering and monitoring of all sales data in the Odoo system. 
  • To assist in the compiling and recording of critical sales information for use by the Sales department.
  • To undergo any job-related training required by the company.
  • Perform other related tasks and responsibilities as required by the Chief Marketing Officer or Designate.
  • Conforms to all established departmental & company policies, procedures & objectives, GMPs, PPE, HACCP, food safety & HSE site protocols.

KNOWLEDGE, SKILLS AND EXPERIENCE:

  • Bachelor’s Degree in Sales, Marketing, Accounts, Business Management or any related field.
  • At least 1 year of experience in a similar role would be an asset.
  • Experience working in a manufacturing environment, preferably in the Fast-Moving Consumer Goods sector.  
  • Ability to prioritize work based on given deadlines.
  • Ability to clearly and accurately capture, interpret and present data.
  • Excellent communication and interpersonal skills with the ability to work independently and as part of a team.
  • Proficiency in Microsoft Office, particularly Excel.
