We’re currently seeking a proactive and detail-oriented Backoffice Specialist to join our dynamic team and play a key role in optimizing operations, ensuring carrier compliance, and building efficient load schedules.

Position Overview
The Backoffice Specialist will play a key role in appointment scheduling and operational support, serving in a dual-capacity function to ensure freight is properly scheduled while supporting the ongoing development of operational systems and SOPs. This individual will manage appointments, assist with load building, and maintain centralized tracking through SharePoint and Excel to keep leadership informed and operations aligned. As part of the Backoffice Support team, a versatile, multi-faceted approach is required.

Key Responsibilities

  • Execute accurate routing and logistics planning with the ability to build efficient routes quickly and accurately.
  • Lead company-wide load coordination efforts, ensuring freight assignments are balanced and executed on schedule.
  • Assist in building loads within the Transportation Management System (TMS), ensuring accurate entry of shipment details, commodities, and routing.
  • Maintain and update a centralized SharePoint-based Excel tracker that consolidates scheduling requirements and provides visibility for cross-functional teams.
  • Track progress, status updates, SOP development, and task ownership to ensure transparency and accountability.
  • Support the creation, documentation, and improvement of Standard Operating Procedures (SOPs) for logistics and support teams.
  • Proactively communicate with carriers, facilities, and internal departments to prevent service failures, missed appointments, or data discrepancies.
  • Identify process gaps and recommend improvements for efficiency and standardization.
  • Collaborate with Track & Trace, Carrier Sales, and Customer Service teams to maintain consistent information across departments.
  • Maintain reliable attendance and punctuality to support efficient and cost-effective department operations.
  • As part of the Backoffice team, you may be cross-trained and reassigned to additional tasks or functions based on departmental coverage and operational needs.
  • Schedule and confirm pickup and delivery appointments with shippers and receivers (via phone, email, or online portals).

Qualifications

  • 1–3 years of experience in freight scheduling, operations coordination, or logistics administration.
  • Strong knowledge of Excel (filters, pivot tables, formulas, formatting) and comfort working with SharePoint for shared document management.
  • Detail-oriented with excellent organizational and communication skills.
  • Experience maintaining or updating SOPs or internal process documentation.
  • Confident using TMS platforms (such as TAI TMS) and collaborating across multiple teams.
  • Ability to use multiple scheduling platforms to book appointments for pickup and delivery across multiple industries.
  • Professional phone and email etiquette with the ability to communicate clearly with U.S./Canada partners.

Preferred:

  • Experience in a logistics or BPO setting supporting U.S. freight operations or similar.
  • Familiarity with cold-chain processes, appointment scheduling, or carrier coordination.
  • Basic understanding of data visualization or dashboards in Excel or Power BI (a plus).
