The Aviation Depot Manager is responsible for the overall management and coordination of the aviation fuel depot’s daily operations. This includes oversight of fuel receipt, storage, quality control, and dispatch, as well as staff supervision, safety compliance, and customer relations.

Core Responsibilities

 

1. Operational Oversight

  • Direct and manage all day-to-day depot operations, including the receipt, storage, quality control, and dispatch of aviation fuel.

 

  • Ensure aircraft fueling activities are conducted efficiently, safely, and in compliance with established service level agreements.
  • Oversee the use and maintenance of all fueling and storage equipment to ensure reliability and operational readiness.

 

 

2. Safety, Quality, and Compliance

  • Implement, monitor, and enforce all Health, Safety, Security, and Environmental (HSSE) policies and procedures.

 

  • Ensure full compliance with local and international aviation standards, including JIG, IATA, ISO, and relevant Civil Aviation Authority regulations.

 

  • Conduct regular safety inspections, quality audits, and risk assessments to identify and mitigate hazards.

 

  • Lead investigations into safety incidents, ensuring corrective and preventive measures are implemented.

 

3. Inventory and Logistics Management

  • Maintain accurate fuel inventory records and reconcile daily stock balances.

 

  • Coordinate replenishment and fuel supply logistics, including bridging operations and liaison with suppliers and transport providers.

 

  • Monitor consumption patterns, forecast demand, and prevent stockouts or overstocking.

 

  • Ensure all fuel handling processes meet required quality and traceability standards.

 

4. Staff Leadership and Development

  • Lead, supervise, and motivate depot personnel to ensure high performance and adherence to operational standards.

 

  • Develop and implement training programs in safety, operations, and quality management.

 

  • Manage workforce planning, scheduling, and performance appraisals.

 

  • Foster a culture of accountability, teamwork, and continuous improvement.

 

 

5. Customer and Stakeholder Relations

  • Serve as the primary liaison between the company, airline operators, ground handling agents, and airport authorities.

 

  • Ensure timely, professional resolution of customer issues and maintain high levels of satisfaction.

 

  • Participate in stakeholder meetings and represent the company in all airport-related operational forums.

 

6. Financial and Administrative Management

  • Oversee depot budgeting, expenditure control, and petty cash management.

 

  • Prepare accurate daily, weekly, and monthly operational and financial reports.

 

  • Ensure timely and accurate documentation for billing, fuel reconciliation, and management reporting.

 

  • Support the development and implementation of cost-control and efficiency improvement initiatives.

 

Key Skills and Qualifications

  • Bachelor’s degree in Engineering, Logistics, Operations Management, or related field (or equivalent professional experience).

 

  • Minimum of 5–7 years’ experience in aviation operations, fuel depot management, or related field, with at least 3 years in a supervisory or managerial role.

 

  • In-depth knowledge of aviation fuel handling procedures, HSE standards, and quality assurance systems.

 

  • Demonstrated leadership ability with excellent communication, team management, and interpersonal skills.

 

  • Strong analytical, problem-solving, and decision-making abilities.
  • Financial literacy and experience managing budgets and operational costs.

 

  • Proficiency in Microsoft Office Suite and familiarity with inventory or depot management systems.

 

  • Ability to work effectively in a high-pressure, safety-critical environment and respond decisively to operational challenges.
