About the Role:
We are seeking a highly organized and proactive Administrator to provide essential administrative and secretarial support to ensure the smooth operation of our organization. This role requires someone with strong communication and coordination skills, a keen eye for detail, and a solid understanding of basic accounting and finance processes.
Key Responsibilities:
Provide comprehensive administrative and clerical support to the organization and leadership team.
Manage the day-to-day operations of the secretariat, including scheduling, correspondence, documentation, and record-keeping.
Assist with basic accounting and finance tasks such as expense tracking, invoicing, petty cash management, and reporting.
Coordinate meetings, prepare agendas, and take minutes.
Serve as a liaison between the organization and external stakeholders, including partners, vendors, and service providers.
Support project coordination and event logistics as required.
Ensure adherence to internal policies, procedures, and compliance requirements.
Qualifications & Skills:
Proven experience in an administrative, office management, or secretariat support role.
Basic knowledge of bookkeeping or financial processes (e.g., invoicing, petty cash, budgeting).
Excellent written and verbal communication skills.
Strong organizational and time-management abilities.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to maintain confidentiality and handle sensitive information with integrity.
Experience working with external stakeholders is a plus.
Preferred Qualifications:
Diploma or degree in Business Administration, Office Management, Finance, or related field.
Familiarity with accounting software or tools (e.g., QuickBooks, Xero) is an advantage.
Prior experience in a non-profit, NGO, or member-based organization is desirable.
