We are seeking a detail-oriented and efficient Administrative/Operations Assistant to join our team in a Managed Printing Service business.
The successful candidate will be responsible for handling a variety of administrative, operational, and customer service tasks to ensure
smooth business operations.
Key Responsibilities:
Administrative Tasks:
● Timely response to emails and effective communication.
● Record and log customer interactions for reference and reporting.
● Accurate and timely updating of payment information sheets.
● Ensure the accuracy of the client database and contracts.
● Handle day-to-day administrative responsibilities.
Operations Tasks:
● Schedule and coordinate service technicians for timely dispatch.
● Procure supplies for customers and ensure on-time delivery.
● Support overall business efficiency through operational responsibilities as the need arises.
Customer Service Tasks:
● Address and resolve customer queries promptly.
● Act as a liaison between customers and suppliers, ensuring issue resolution.
● Conduct collection calls, addressing customer concerns about billing discrepancies.
● Provide excellent customer service within the Managed Printing Service context.
Qualifications:
Qualifications: 1. Bachelor in Business Administration or a related field is a plus.
2. Proven experience in administrative or operational roles with experience in customer service.
3. Strong organizational and multitasking skills with attention to detail.
4. Excellent communication and interpersonal skills.
5. Proficient in Microsoft Office Suite and Google Workspace.
6. Ability to work independently and collaboratively in a team.
7. Problem-solving and critical-thinking abilities.
8. Availability to handle occasional after-hours tasks or urgent situations. 9. Technologically savvy.
