The Administrative Officer is responsible for providing administrative support to the Company Secretary and Legal team to ensure that legal and corporate services provided to external and internal clients are efficient and effective.

Job Objective:

The Administrative Officer is responsible for providing administrative support to the Company Secretary and Legal team to ensure that legal and corporate services provided to external and internal clients are efficient and effective. 

Duties and Responsibilities

  • Assist in maintaining databases and associated files and records on a regular basis. 
  • Provide administrative support to the Company Secretary/Head Legal Services. 
  • Receive and screen telephone calls and record messages. 
  • Route all visitors to the office of the Legal Services. 
  • Assist in the preparation and dispatch of reports and general correspondence. 
  • Coordinate the flow of information internally and externally. 
  • Schedule and organize meetings. 
  • Liaise/interface with internal and external customers. 
  • Maintain an adequate inventory of office supplies for the department. 
  • Monitor leave usage and balances of members of the department. 
  • Prepare Attendance and Punctuality reports. 
  • Ensure the efficient functioning of the department. 
  • Provide information and assist in budget preparation. 
  • Perform any other related duties as necessary. 

QUALIFICATIONS AND EXPERIENCE:

 Minimum Requirements:

  • Bachelor of Science Degree in Management or any other related field. 
  • Computer literacy with familiarity in Microsoft Office which includes Excel, Word & Power Point. 
  • A minimum of three (3) years' experience performing administrative duties, preferably in a corporate/legal environment. 
  • Any equivalent combination of qualifications and experience.

Special Skills and Knowledge: 

  • Knowledge of relevant company procedures.
  •  Basic knowledge of office procedures and practices. 
  • Excellent interpersonal and communication skills. 
  • Must have a high degree of confidentiality. 
  • Full working knowledge of Microsoft Office Suite. 
  • Experience in drafting contracts, leases, deeds other legal documents and instruments would be an asset.
